OPENED TO INTERNAL APPLICANTS ONLY The Geophysical Institute Business Office is seeking an individual who is highly motivated and ready to take on a very multifaceted and exciting department. The successful candidate must have great customer service skills, the ability and willingness to learn and a positive attitude. Previous experience with payroll, recruitment and automated systems is a plus.

Knowledge, skills and abilities required for this position.

Banner HR, or other large personnel data base. GAAP- Generally Accepted Accounting Principles, UA payroll procedures. Ability to provide exceptional customer service to our faculty, staff and students. Communicate effectively and professionally. Proven time management skills required to manage concurrent deadlines and multiple projects often under pressure and critical timelines. Demonstrate ability to maintain confidentiality on highly sensitive issues. Must be able to solve problems independently and analyze situations and know when to involve GI HR Manager, or GI Director. Demonstrated understanding of applicable UA Policy & Regulations and State & Federal Laws. Experience in determining taxability of international students and scholars. Ten key by touch, computer skills including PC operating systems, Word, Excel, e-mail clients, Mozilla/Internet Explorer Browser, and Oracle databases. Ability to understand basic computer programming to determine realistic and effective computerized reporting aids (browsers). Ability to learn new software and programs quickly. Strong organization, prioritization, and analytical skills. Proven ability to handle difficult situations with diplomacy and tact. Ability to work with a diverse staff in a scientific/technical environment. Must be resourceful and competent in interpreting information for our employees. Ability to provide training.

Typical education or training required for this position (including licenses).

University coursework in human resources, accounting, business, or a related field, and one year prior experience as a personnel/payroll technician, or equivalent combination of training and experience in accounting, payroll or human resources.

Length of time and type of experience required for this position.

Two years of experience working in a Human Resources setting as a recruitment, payroll or personnel coordinator. Incumbent must demonstrate working knowledge of HR practices, personnel, payroll and highly sensitive issues. Experience with conflict resolution, problem solving and proven ability to work diplomatically with a diverse scientific group of researchers.

Preferred knowledge, skills or abilities for this position.

Knowledge of collective bargaining contracts, automated termination workflow process. Prior experience with databases Banner HR and data-querying tools (Q-Adhoc/Data-Browser/Access/Toad).

Job Duties


EMPLOYEE DOCUMENTATION: Communicate and coordinate with GI business Office to ensure availability of funds prior to job form setup and for proper accounting on Mass Time Entry and Web time entry time sheets and grant effort reporting. Advise GI HR consultant of employees using leave, inclusive of sick leave, FML, and LWOP. Research, resolve, and correct any payroll issues including sabbaticals, executive compensation, travel relocation's and represented employees tool payments and DSD payments. Notify principal investigators, supervisors, and term-funded employees of current positions that are close to the termination dates, so that the position is either extended or terminated in a timely manner. Extend all term funded, faculty grad and student positions with in the department every spring as per instruction from central HR and Budget Offices. Generate annual contract letters on the fiscal year.

PAYROLL: This position is responsible for time sheet collection,and verification of time sheets in web time entry on a bi-weekly basis. Responsible for ensuring time sheets are complete and submitted in a timely manner. Advise and assist departments with payroll inquiries. Track payroll process for discrepancies, maintain supervisor and FYI lists in UAOnline for web time entry. Work closely with fiscal officers to ensure correct accounting on time sheets. Responsible for entry of labor redistribution's in banner for correction to payroll accounting discrepancies.

RECRUITMENT: Assist and advise supervisors/hiring managers and search committees on recruitment efforts. Assist with development of position descriptions, screening materials, advertising, and job postings. Work closely with search committees and HR consultants to ensure a seamless recruitment process. Complete and gather applicable hiring information to include preparing contract letters and any applicable uakjobs actions. Meet with employees for on-boarding process, collect pertinent documentation for hire and submission to campus HR office.
