Gilbane Building Company is seeking a Benefits Coordinator who will report to the Manager of Benefits, and provide benefits administration and support of the health and welfare programs to all employees (approximately 2,300+). Duties include providing guidance and consultation on benefit programs to regional HR representatives in multiple US locations and assist in benefits projects.
Essential Duties and Responsibilities
Administration of all health and welfare plans for all employees (approximately 2,300+); including but not limited to responding to inquiries, conducting benefits orientation, processing of benefit enrollments and changes while maintaining accuracy of enrollment data and legal compliance (section 125 status changes);
Calculate employee payroll deduction refunds/recoveries; update and maintain employee orientation packet; confirm consistency throughout the regional offices;
Process severance paperwork including COBRA subsidy with vendor;
Review dependent certification reports and make recommendation to manager; make dependent enrollment changes as necessary;
Act as liaison between Gilbane corporate and regional offices on day to day issues;
Provide effective ‘centers of excellence’ support to regional HR partners;
Interact with vendors on day to day administration within the scope of the plan provisions;
Work with benefit plan vendors to seek resolution to employee eligibility issues; counsel regional employees on benefit-related issues; and provide assistance and guidance to HR representatives regarding benefits programs;
Contribute to the education, training and communication of benefits to HR representatives;
Maintain Health & Welfare forms and links for benefits information on the g.net;
Conduct enrollment audits (quarterly/annually);
Maintain domestic partner enrollment, imputed income information, review and process adoption assistance requests;
In conjunction with the wellness coordinator and safety manager, coordinate an annual health, safety & benefits fair; including but not limited to the solicitation of vendors, selection of programs and set up;
Process benefit invoices and maintain benefit cost spreadsheet;
Edit employee discount communications and other vendor offerings (events at Dunkin’ Donut Center, etc.);
Manage and promote company’s blood drives;
Assist in the annual enrollment process;
Assist with the Total Rewards project;
Respond to Medicare’s HCFA data match questionnaire;
Special projects and duties as requested and/or assigned.
Participate in wellness initiatives and communications including the distribution of fruit to corporate office.
KNOWLEDGE, SKILLS AND ABILITIES
Bachelor’s degree or equivalent experience required
2-3 years of health & welfare benefits administration and compliance
Knowledge of relevant federal and state laws relating to employee benefits (ERISA, IRS, DOL)
Attention to detail
Excellent written and verbal communication skills
Strong analytical and problem solving skills
Excellent interpersonal and organizational skills
Demonstrated ability to work comfortably and professionally within a highly confidential work environment.
Ability to set priorities.
Highly proficient in MS office software including Word, Excel, PowerPoint and Access; HRIS knowledge a plus.
