The Deputy Court Clerk position assists with the daily operations of the Municipal Court. It is a moderately difficult and varied position that requires attention to detail, and involves ticket processing, cashiering, recordkeeping, processing court-related orders and paperwork, maintaining court records, courtroom clerk and bailiff duties, probation clerk duties, and contact with the public, police, attorneys, prosecutors, staff, defendants, victims, jurors, and City officials.

JOB SPECIFIC FUNCTIONS:

Essential Job Functions, Duties, Responsibilities, and Tasks
1. Responsible for various daily job duties, including but not limited to:
· Accept payments of fines, fees, restitution, or other costs assessed
· Operate credit card machine; generate receipts for cash, checks, and credit cards; balance cash drawer
· Provide information to the public in accordance with rules and regulations
· Operate multi-line telephone equipment
· Prepare court documents as required
2. Prepare a variety of forms, and process incoming tickets, motions, and other paperwork
3. Check forms, incoming tickets, charges, etc., for completeness, accuracy, and compliance with municipal court procedural requirements
4. Responsible to:
· Process, sort, index, file, and maintain reports, legal documents, and other records in accordance with established procedures
· M aintain relatively complex records and court dockets
· Review files and all paperwork for accuracy and completeness
5. Answer incoming telephone calls on multiple lines
6. Must be able to communicate effectively both verbally and in writing
7. Must be efficient and exhibit attention to detail and accuracy in all aspects of the tasks assigned
Other Duties and Responsibilities
1. May perform duties of jury clerk
2. May perform duties and responsibilities of court bailiff and/or courtroom clerk, including:
· Maintaining order and decorum while in court sessions
· Setting up courtrooms for sessions
· Setting up and checking in jurors for jury trials
· Operating courtroom recording equipment, maintaining recordings, and preparing CDs for transcription and/or as requested by parties according to policies and procedures
· Keeping accurate records of the status and disposition of cases before the court on the court docket
· Preparing all necessary paperwork and orders
· Assisting defendants as necessary
3. May perform duties of probation clerk and prepare probation documents and files
4. May enter and/or recall warrants, and assist in various system audits
Incumbent is accountable for all duties of this job, and other projects and responsibilities may be added at the City’s discretion

POSITION REQUIREMENTS/WORKING CONDITIONS/PRE-EMPLOYMENT REQUIREMENTS:

Education, Experience, Skills, Formal Training, Licenses, and Certifications
Required :
· Graduation from high school or GED
· Accurate typing of 50 WPM
· Work experience in a clerical setting, as well as cashiering and public contact experience
Preferred :
· Experience working in a municipal court facility, and education in a legal field such as criminal justice, court reporting, or as a paralegal/legal secretary
· NCIC, CCIS, and legal records experience
Any equivalent combination of education, training, and experience, which would provide the required knowledge and skills, may be considered.
Physical Requirements
Work is sedentary in nature and requires sufficient physical stamina and strength for:
· Constant sitting to perform daily tasks; occasional walking through a multilevel facility to retrieve information; frequent standing, sometimes for extended periods
· Frequent squatting, reaching above shoulder, and twisting to file documents and lift supplies and material; occasional bending, kneeling, climbing, balancing, and reaching below shoulder to store documents, material, and supplies
· Constant light grasp, and fine manipulation and handling to perform daily duties; occasional firm grasp to safely use equipment
· Frequent lifting, carrying, pushing and/or pulling of up to ten (10) pounds to move material and supplies; occasional pushing and/or pulling of up to twenty-five (25) pounds with dollies and carts

WORKING CONDITIONS
Work is constantly performed indoors and is primarily sedentary office work. Must demonstrate the ability to meet the physical demands of the job, including the ability to retrieve information from various locations in the office when needed. Exposure to periods of high activity and high stress under demanding conditions. The position requires a great deal of communication with City employees, the public, and outside agencies.
Required Materials and Equipment
General office equipment including telephones, copy machines, calculating machines, cash validating equipment, credit card machine, fax machine, optical imaging system, computer terminals, personal computers, and printers.

PRE-EMPLOYMENT REQUIREMENTS
· Background checks will include employment references and criminal history, and when applicable, credit check, driver license record, and education verification
· Drug screen
· Must be legally entitled to work in the United States
· Candidates will b e fingerprinted and CCIS certified (CCIS certification done by City staff)
