POSITION TITLE: Associate for Religious Education
• Full time professional with benefits
• Office schedule: 40 hours per week, including most Sundays and some Saturdays
o Class in-session weeks:
Sunday: 4-8 hours
Monday-Thursday: 8 hours
Friday and Saturday (variable)
o Class not in-session weeks:
Monday-Friday: 8 hours
• Student Registration and Record Management
o Process Religious Education registrations using Microsoft Access (new system coming soon)
o Collect and record registration fees.
o Keep student electronic records and paper files:
baptismal certificates and other sacramental information
report card copies
evaluations and miscellaneous correspondence
o Constantly update database and use for electronic and paper communication with families.
• Processing Tuition, Fees and Bills
o Collect, record and process all money received.
o Process invoices and reimbursement requests.
o Maintain tracking/audit record.
o Follow through with individual families to collect unpaid balances.
• Catechist and Volunteer Processing
o Coordinate compliance with child protection training requirements for all Religious Education volunteers.

• Support for Classes, Meetings, and Special Events
o Prepare set up sheets for classes, meetings, family retreats, rites, receptions.
o Order supplies for classes and meetings.
o Purchase food for meetings, in-service and retreat days.
o Make copies and prepare packets.
o Support, as required, monthly sacramental rites, Family Retreat Day, and other special events and programs.
o Administer Family Retreat Day on a Saturday in March
• Substitute Catechists
o Assist Director in identifying substitute catechists and class aides as needed each week.
o Substitute in any class if a substitute is not available.
• Sacramental Records (Baptism, Profession of Faith, Penance, Eucharist, Confirmation)
o Ensure that accurate and complete documentation is received from parents/guardians.
o Enter information into database.
o File hard copies.
o Prepare reports for sacramental bookkeeper (Marty Piper).
o Send letter of sacrament received to Baptismal parish of each student.
• General Administrative Duties
o Oversee volunteer office aides. An office aide may enter attendance in database during each class session.
o Prepare rosters, special needs, and attendance sheets for catechists.
o Prepare labels, assemble packets, and oversee mailings - including quarterly newsletters, sacramental meetings, special events, information packages, report cards, catechists' meetings, and general correspondence.
o Inventory and order student texts, catechist guides, supplies, books, videos, and other resources.
o Prepare programs for Rites, First Reconciliation, First Eucharist, and Confirmation.
o Listen and log all phone messages. Address questions or forward messages to DRE as needed. Return phone calls within 24 hours. Leave detailed voice messages with information related to the caller's question or concern.
o Read all email messages and respond within 24 hours. Address questions or forward messages to DRE as needed. If information or decision is pending, let the person know when more information or a decision will be available.
o Process all mail when it arrives.
