This position provides administrative support and oversees a full range of clerical and specialized administrative functions in support of Intermountain's General Counsel and in-house Attorneys. This is a highly visible position requiring contact with board members, senior management, physicians, directors, risk managers, legislators, attorneys and other key executives in the community. The incumbent must represent Intermountain and the Legal Department in a professional manner, functioning with a high level of knowledge, courtesy, efficiency, and thoroughness. The incumbent must act with minimal supervision and be able use their own judgment in composing correspondence, legal documents, reports and spreadsheets. The incumbent understands the confidential nature of working in a legal department.

Job Essentials:
  • Performs a full range of clerical functions, relieving and assisting the legal department leadership of complex details and routine to advanced administrative duties
  • Prepares legal documents (transaction, litigation, corporate minutes and bylaws) as directed by attorneys in a timely and accurate fashion
  • Greets a variety of customers at all levels of the organization and community, receives and screens incoming calls, answers routine inquiries and routes calls to appropriate individual
  • Collects information, compiles data from multiple sources at all organizational levels, searches and investigates information, and makes and checks routine calculations for specified forms, report formats, presentations, or other documents requiring specific knowledge of functional operations
  • Maintains complex files and records; Maintains and updates department resources and tools such as employee lists, referral lists, phone lists, business continuity plans, organizational charts or other department information
  • Summarizes contents of incoming materials requiring knowledge of technical matters
  • Utilizes and provides basic maintenance for all office equipment including computers, scanners, phones, fax machines, printers and copiers
  • Coordinates activities between departments and outside parties; Maintains attorneys’ schedules and calendars and schedules and arranges office meetings and depositions and prioritizes and manages leaders’ calendars to ensure business objectives are met
  • Provides support for meetings including preparing agendas, reserving rooms, sending appointments, coordinating catering, recording and distributing minutes
  • Tactfully handles difficult situations with staff and customers while remaining positive and professional
  • May act as a timekeeper and ensures timely and accurate submission of payroll information
  • May serve as administrative liaison with others within and outside the company regarding administrative issues related to operations
Minimum Requirements
  • Five years of experience working as a Legal Secretary in either a corporate setting or law firm requiring a strong emphasis on business transactions
  • Experience in a role requiring a high level of self- motivated and very attention to detail
  • Experience working in a team environment, requiring problem solving, excellent organizational and multi-tasking skills and able to handle stressful situations in a positive and professional manner
  • Demonstrated understanding of court procedures and legal process
  • Experience in coordinating extensive travel arrangements and logistics
  • Demonstrated ability to type / keyboard 60 wpm
  • Experience using word processing, presentation, spreadsheet, database, internet and e-mail and scheduling applications
  • Demonstrated proficiency using PowerPoint presentation application
  • Experience in a role requiring effective verbal, written and interpersonal communication skills
Physical Requirements
  • Speaking, hearing / listening, seeing, manual dexterity
Preferred Qualifications
  • Associate degree or college-equivalent technical skills training
