The Administrative Assistant is responsible for plant communication (incoming/outgoing) and plant staff clerical support, administrative functions, and performs backup functions for the Plant Manager. The Administrative Assistant also performs any other tasks or assignments delegated by the Plant Manager or as determined by the needs of the company.
ESSSENTIAL DUTIES AND RESPONSIBILITIES
Stamp vendor invoices and forwards for processing, attaches check stub to invoices and mails vendor checks.
Assembles time cards and forwards to office Supervisor for timely processing.
Daily distribution of paperwork and mail. Daily preparation of mail and Fedex shipments.
Order and maintain office supplies. Maintain stock room in a neat and organized manner.
Greet visitors and directs visitor to appropriate personnel. Monitors outside intercom calls from the gate and provides direction to the visitor. Ensures that all plant visitors sign in on the visitor s log.
Initiates all routine correspondence as per instructed by the Plant Manager, with the exception of confidential information.
Maintain all plant administrative files and document control logs.
Administer to plant managers in support of selected technical documentation, electronic record filing of plant data and statistics, environmental records and reports to include permits/regulations and the general overall administrative support of plant records as directed by the Plant Manager.
Maintain all policy information and documentation for plant library.
Responsible for reconciling of site checking account and maintaining check register.
Assist EHS Coordinator with guidelines and update manuals.
Proficient with Microsoft Office.
Gather data and provide a cursory review of the data to assist Plant Manager in completion of monthly reports.
Assist office Supervisor in HR functions.
Coordinates all plant related employee functions/meetings.
Provides support to plant staff with travel arrangements.
Complete other tasks as assigned by the O&M Manager or Plant Manager.
JOB REQUIREMENTS (Education, Experience, Knowledge, Skills)
High school diploma or general education degree (GED); or one to three years related experience and / or training; or equivalent combination of education and experience.
This position operates from specific and definite directions and instructions under moderate supervision. Decisions are made within prescribed operating procedures and guidelines. This position encounters regular, recurring work situations of moderate administrative complexity with occasional new and varied work situations.
The Administrative Assistant must effectively communicate information to the supervisor and fellow plant personnel. Must follow through with tasks assigned and relay the status of the assigned project to the appropriate personnel. The Administrative Assistant will also communicate information relative to administrative processes, and provide suggestions for plant improvement. The Administrative Assistant must insure duties are performed in such a way as to create an optimum cost-benefit ratio.
All employees have the responsibility to both the customer and their co-workers to do the job right the first time and to ensure the customer s needs are being met.
All employees will participate in the Fitness for Duty Program. This program includes pre/post employment physical examinations and drug screening.
Ensure Compliance with all Safety & Environmental policies, practices and procedures
Maintains friendly office environment.
Must have good judgmental skills
Perform other duties as assigned.
