Job Description

Responsible for providing direct administrative support, oversight and organization to the VP/SVP in a professional and efficient manner. The individual should be self-motivated, hands-on, and an organized professional with a positive, can-do attitude.

  • Manage daily workflow of the VP/SVP, including scheduling appointments, maintaining
calendars, telephone, department and group meetings, expense reports, files, travel plans,
  • Provide administrative support on a limited basis to team. Coordinate meetings and
agendas; assist with presentations and meeting materials.
  • Anticipates the needs and applies strategic business thinking to support the VP/SVP
  • Make appropriate, informed decisions regarding VP/SVP’s availability
  • Deliver excellent customer service and demonstrate a high degree of
  • Preparation of quality presentations as needed
  • Preparation of highly confidential reports, correspondence, etc.
  • Maintain files for VP/SVP
  • Administration of Executive’s emails as needed in their absence
  • Screening calls and prioritizing emails
  • Coordinating detailed travel arrangements at domestic and international level
  • Coordinate event functions and private lunches
  • Ensure executives are prepared with necessary materials for meetings
  • Regularly handle critical and highly sensitive and confidential matters
  • Act as liaison to executives’ direct reports and their staff
  • Pulling reports on a daily basis
  • Coordinate setup of new employees, including on-boarding facilitation
  • Oversee and coordinate all space planning needs of department and partner with
Corporate Facilities
  • Maintain department organization charts, phone lists, and reporting relationship tools
  • Other responsibilities including special projects as required to increase the professional
effectiveness and efficiency of both executives and their teams
  • Proactively and as appropriate, manage personal schedule and tasks to support executive

  • Minimum of 5 – 7 years administrative experience supporting most senior level executives in
a fast paced environment
  • Superior communication skills, both written and verbal
  • Exceptional time management and prioritization skills
  • Strong problem solving and follow up skills; must be proactive and take initiative to support
  • Strong computer skills (Excel, Word, PowerPoint. Excellent organizational and follow-up skills
with attention to detail
  • Strong interpersonal/people skills; ability to establish and build partnerships with all levels of
management and business partners
  • Demonstrate professionalism and ability to maintain highest level of confidentiality
  • Ability to be very flexible at all times, including reprioritizing near-term assignments
