The Sales Administrative Assistant will support Aprimo’s Area Vice President for the Americas West area (or East area), in addition to the members of the team. This role will be responsible for administering the day to day field operations for the area assigned in coordinating interactions with the company. The role will involve being the liaison between the Area Vice President, Americas leadership, key executives, and team members with in Aprimo, Teradata and partners. The Sales Administrative Assistant must work with a high level of confidentiality, work well under pressure, possess meticulous attention to detail, and be willing to be available without hesitation. This individual should be proactive in anticipating demands and concerns. This role will be responsible for providing ongoing support and growth of the SalesForce.com application throughout the organization. While the role is truly one of an individual contributor, a high degree of interaction and teamwork is required to be effective in the role.

Candidates would be based at one of our Teradata offices located in Rancho Bernardo, CA, Indianapolis, IN, Dayton, OH, Johns Creek, GA or Raleigh, NC.

Responsibilities

Renewal & Rewrite contracting and P.O./Invoicing Support (#1)

Provide administrative support to the identified leader and team

Maintain calendars for Area Vice President including processing/scheduling all internal and external calendar invitations/ Coordinating Webex meetings and agendas/ attending and preparing minutes as necessary

Research and book travel for AVP and maintain calendar, including air, hotel and ground transportation. Secure visa when team travels internationally.

Expense statement processing and corporate card reconciliation

Maintain area organization chart and email distribution list Develop correspondence and PowerPoint decks

Enter data into applicable departmental databases. Ensure accuracy of information.

Assist departmental staff and/or management with special projects as requested.

Assist in establishing, maintaining, and managing various departmental files, logs, and complete related tasks including filing, record maintenance, etc.

Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.

Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

Distribution of monthly updated pricing

Provide support for annual offsite events including communications with customers and prospects.

Coordinate Area events and training

Support Interview process with candidate scheduling

Support processing, tracking and managing the candidate offer process

Support new hires with coordination and logistics re: new hire training

Support the quarterly performance review process Assist in completion and accuracy of “order checklists”

Coordination of various operational projects that support customer facing team

Work with Associate services to resolve incentive compensation issues

Qualifications

Requirements

Associate Degree – Bachelor’s Degree preferred

Minimum five years of experience in administrative support, along with at least two years of experience supporting senior management level

Ability to lead problem solving activity

Excellent written, verbal and interpersonal communication skills. Proven ability to communicate clearly and concisely.

Possess extensive working knowledge of up-to-date Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)

Demonstrated experience working with and maintaining confidential information

Experience working with an international company

Must be able to type at least fifty (50) wpm

Strong editing and grammar skills

Demonstrated ability to perform research, gather data, and basic data analysis

Being bilingual in Spanish and/or Portuguese would be

beneficial
