Warehouse Office Assistant reports to the Warehouse Assistant. The Warehouse Office Assistant is responsible for assisting in the overall operation of the Warehouse and will be able to assume the responsibility of the Warehouse responsibilities during employee absences.
High School diploma or GED equivalent
Some College, Associate or Bachelors Degree preferred.
Strong business, financial knowledge and accounting knowledge and practices.
Computer literate. Proficient and working knowledge of Microsoft Office, Microsoft Word, Excel, and email experience. Must have basic computer skills and 10-key abilities.
Demonstrates effective problem solving/analytical skills and pays attention to details.
Good communication and customer service skills.
General accounting knowledge and accounting background.
Attention to detail, well organized and manages time well.
Previous Logistics and Dispatch experience.
Able to work a flexible shift. Work week may exceed 40 hours per week.
Be on rotating evening and week-end call.
Essential Administrative Duties and Responsibilities:
Responsible for completing all administrative duties in a timely fashion with a high degree of accuracy to insure correct Warehouse reporting. These duties will also include receptionist, filing and faxing
Insures each vendor invoice, delivery ticket is correctly entered into the computer the day the invoice is received.
Responsible for all required paperwork to be completed accurately and entered via the computer each day and on time.
Aids the Warehouse Assistant in conducting monthly inventories, counts or audits and helps in the verification, submission and posting of the inventories as directed.
All variations after counts and audits are reviewed and action taken to remain in compliance.
Itinerary and schedule(s) submitted as directed.
Processes and monitors delivery tickets and invoices.
Stays informed of any price changes, adjustments, reallocations, and or allotments.
Properly record or document merchandise or product that is not saleable, damaged, discontinued, or is old inventory that is not moving.
Ensures all company manuals and other issued books/manuals are current and available.
Anticipate, identify, prioritize, and resolve/eliminate problems through effective delivery planning and scheduling.
Generate delivery tickets and ensure that committed delivery times are successful as scheduled.
Respond to and report service failures as required.
Reconciles Freight, Credits and Rebills.
Researches BOLs, missing invoices, drafts and freight bills.
Collects, enters and submits Payroll.
Complete reports as assigned by the Warehouse Assistant.
Follow company procedures when working with customers and vendors.
Adhere to all company policies outlined in the policy manual.
Inspect store facilities/ equipment for safety, cleanliness and proper working order.
Document and report a Safety incident or injury.
Document and report a maintenance request.
The Warehouse Office Assistant maybe asked to participate in any other related task or activity which management determines his/her skills would be useful or needed.
