The warranty administrator is responsible for reviewing and completing warranty claims. This includes preparing; recording, reconciling warranty claims and submitting them to the appropriate party.
o Process all claims by next business day following RO close date
o Handel and resolve all claim corrections and charge-backs
o Establish and maintain relationships with the manufacture's designated warranty representatives
o Review every warranty repair order written for proper completion, accuracy and legibility according to the policies and procedures
o Analyze problems, identify trends and develop strategies for maximizing claim process
o Flag the technicians for the hours earned on the service they performed
o Check each repair order against the vehicles service history to avoid duplicate claims
o Provide a weekly report to the service manager regarding claim status
o Report any fraudulent manipulation of warranty claims
o Provide parts manager with updated parts listing on a weekly basis
o Conduct weekly audits of warranty and schedules, reviewing all old claims, and address any adjustments or write-offs
o Assist service consultants in closing all open warranty RO's
o Assist service consultants and technicians with any warranty questions
o Assist with special projects, audits and reports as requested
o Review and manage all aging schedules and reports
o Understand and comply with federal, state and local regulations, such as safety requirements, hazardous waste disposal, OSHA right-to-know, ect...
o Attend warranty training courses as needed
o Demonstrates behaviors consistent with the company's vision, mission and values in all interactions with customer, co-workers and suppliers
o Adheres to all company policies, procedures and safety standards
o Must meet company's requirements for employment
o Ability to effectively communicate verbally and in writing
o Ability to confront and resolve difficult customer service situations
o Professional appearance
o Demonstrated customer service skills
o Ability to read and comprehend written instructions and information
o General knowledge of automotive parts and vehicle mechanical operations
o Two years of experience in a automotive dealership
o Ability to use a computer
Physical Requirements & Working Conditions:
o Normal office environment
o Prolonged periods of personal computer usage and data entry
o Prolonged periods of sitting, standing, stooping and bending
o A high school diploma or the equivalent
o Must have technical aptitude displayed by ASE certification or successful completion of pre-employment test.
