Primary Responsibility

Provide accountability on behalf of the Sheriff's Office Jail Division when it pertains to collecting and accounting of inmate funds, transactions, incoming, outgoing and charges that occur while in our custody. Responsible for counting, verifying, and depositing large amounts of cash. Responsible for processing and compiling daily reports, reconciling bank statements, auditing reports from other units on a monthly, quarterly, and yearly basis. Provide technical support for the other units within the detention facility. Assist in special projects and provide coverage for the other employees within our unit as needed. Reports to Accounting Supervisor.

Examples of Important and Essential Duties:

-Collect, count, and verify inmate money received from booking, bonding, front desk, D-module, F-module, transport, releasing, work release, kiosk, mail room and accounting
-Audit, compile, and balance reports from different units in the detention facility to create a 24 hour shift report
-Communicate with other detention facilities, half-way houses, inmate's family and friends, lawyers, banks, vendors and other employees
-Audit and adjust incoming and outgoing rosters, and verify information in the JMS and Keefe system
-Reconcile drawers for deposits for booking, releasing, bonding and accounting
-Research problems such as counterfeit bills, missing money, and money deposited in wrong accounts
-Encumber inmate accounts for commissary purchases, library copy fees, medical and prescription co-pays, restitution, postage, work release and ua's
-Endorse payroll, government and tax return checks by addressee and provide notarized account summaries to inmates for legal purposes
-Charge and balance commissary sales, refunds, barber services, medical co-pays, prescription co-pays, restitution, library copy fees, postage fees and process payments
-Verify booking fee encumbrances, credit accounts, deposits and compile data for reports, print receipts for the kiosk, the website and telephone deposits
-Deposit detention facility money in the bank on a daily basis
-Responsible for keeping Keefe System computer up and running at all times
-Consult with inmate account software vendor
-Audit, reconcile, and replenish petty cash
-Audit and reimburse copies, and postage fees
-Verify bank statements for accounts (monthly)
-Prepare and Issue checks to vendors, inmates, and County Treasurer
-Prepare reports for supervisor regarding discrepancies in shift reports, and other accounts
-Balance and make payments to close general ledger books, and accounts
-Contact with inmates in the housing unit
-Input data and balance and distribute report for Commissary account
-Instructor for the in-house orientation academies on accounting procedures
-Compile monthly, quarterly, and annual reports and statistical information for Sheriff's Office Administration and County Treasurer
-Attend problem-solving meetings with other sections within the Sheriff's Office as needed
-Review employee handbook, policy and procedures, and post orders to keep them up-to-date
-Maintain and prepare accounting records for archive and disposal


To be considered for the position, candidates must meet the following minimum requirements:

-Possess a High School Diploma or equivalent education
-Possess one year of previous experience in banking or public accounting
-Possess knowledge of basic accounting procedures and Microsoft Excel
-Have the ability to accurately operate 10-key by touch
-Have the ability to type 35wpm with accuracy

Special Requirements:

The selection and background process will be utilized to select the most qualified candidates.

The Testing process for this position includes a typing and 10-key test as well as an oral board interview.

The Background process may include any/all of the following:
-2 phase psychological evaluation
-Integrity Interview
-CVSA exam (truth verification)
-Physical exam
