We are seeking an experienced Executive Administrative Assistant to join our team in Denver, CO .
This position will be responsible for providing full executive administrative support to the Vice President. The Executive Assistant is expected to provide superior administrative support and customer service, with high attention to detail, accuracy, and contribute to a positive, collaborative and professional team environment.
Coordinate the day-to-day operations of the Vice President. Manages and maintains his schedule in an efficient and effective manner while maintaining a high level of professionalism and confidentiality.
Support the Vice President in preparation for daily events and follow-up actions (e.g. scheduling and coordinating meetings, maintaining action lists and reminders, managing phone calls and meeting preparation).
Advanced analytical and presentation preparation skills are utilized on a regular basis with tools such as Word, Excel, Access, InDesign, and PowerPoint software.
Support activities require a high degree of confidentiality, attention to detail, and accuracy. Exhibit strict confidentiality with all information relating to travel, expenses, disciplinary actions, compensation, appraisal scores and promotions.
Must exercise initiative, judgment and knowledge of company policies, practices and the organization.
Act as a liaison between respective executive and internal and external clients and screens calls, as necessary.
Manage travel arrangements and bookings. Prepare expense reports for the Vice President and management members of his team.
Compose and prepare confidential correspondence, reports, and other documents. Support marketing material development.
Gather information and create the monthly reports and assist with organizing the mid-year and year end business plans and reports.
Arrange events/conferences with staff and vendors including venue selection, catering, invitations, and budgets.
Supervise the administration functions.
Other duties as assigned.
Associate's degree in Business Administration or equivalent is required, Bachelor's degree in Business Administration or equivalent is desired.
8 years of Administrative experience with at least 5 years supporting senior staff member.
Advanced skills in Microsoft office products such as Excel, PowerPoint, Word, Outlook and Access are required; InDesign knowledge a plus.
Excellent interpersonal, telephone, and organizational skills are essential.
Must be customer service oriented and have a polished and professional demeanor and image to interact with external parties.
Ability to maintain confidentiality required of work assignments and is independent and resourceful to accomplish day- to-day tasks and assignments.
Excellent verbal, written, and grammatical skills are a necessity. Must be able to review and edit written materials.
Must demonstrate initiative and the ability to handle multiple tasks and changing priorities under tight deadlines, while maintaining a high-degree of accuracy and professionalism.
Strong time-management skills with the ability to effectively manage multiple aggressive deadlines
Self-starter, independent worker that is comfortable working in an unstructured environment is key.
Being proactive in terms of anticipating needs and follow-up items is crucial.
