The Administrative Assistant reports to the Project Manager, who has ultimate responsibility for both the quality of deliverable and effective execution of the project assignments. This position overall processing of accounting responsibilities for current projects and reconciliation of prior contracts as needed.

Essential Duties and Responsibilities: (

Performs a variety of administrative functions

Schedules appointments, gives information to callers, and takes dictation

Composes memos, transcribes notes, and researches and creates presentations

Generates reports, handles multiple projects, and prepares and monitors invoices and expense reports

Manages and processes entried of accounts payable invoices to include reconciliation of credit card statements

Prepares and processes daily and project Purchase Orders based on Project estimates

Monitor the Purchase Orders compared to materials ordered of services rendered

Assist with the preparation of accounts receivable invoices as needed

Assist in the accountability of the successful processing and completion of payroll time entries

Resolve Vendor/Company accounting issues

Participate in Client/Company meetings when necessary

Assist personnel with Human Resource matters when needed

High School Diploma/GED and a minimum of 5 years of relevant work experience

Knowledge, Skills and Abilities:
Knowledge of Microsoft applications and programs

During visits to areas of operations, may be exposed to extreme cold or hot weather conditions. Is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, and loud noise.
