General Purpose

Under supervision, responsible for timely and accurate processing of vendor invoices for approximately 35 manufactured housing communities including providing assistance to Regional Vice Presidents and Regional Accountants on vendor account issues.

Essential Duties

Input approved invoices into computer system by data entering vendor code and invoice information consistent with rules to avoid duplicate payments, verifying mailing address, payment amount and due date in order to establish open payables files for each vendor.

Print and mail checks to vendors on a weekly basis by selecting due for payment from open items file, printing checks, attaching supporting documents to file copy, obtaining a signature for checks > $50,000 and mailing checks to vendors. Maintain paid invoice files.

Maintain Vendor information, researching disputed account balances and analyzing late charges to ensure all vendor account balances remain current, in order to protect our credit status and ensure services remain uninterrupted.

Provide assistance to Regional Vice Presidents/Accountants and occasionally Community Managers regarding vendor payments. Ensure vendor payments are made according to terms established including taking available discounts.

Assist in preparing special reports such as Summary of Unrecorded Liabilities and Petty Cash Summary.

Complete special tasks related to month end closing such as standard journal entries for allocation of consolidate invoices. Transfer of batches to the general ledger.

Maintain vendor W-9 information and assist in annual filing of 1099 forms with IRS.

Other duties as assigned.

Minimum Education/Experience Required

High school diploma/GED required, Associates Degree in Business or Accounting desired.

A minimum of 2 years experience working in clerical position in accounting field.

Knowledge, Skills, Abilities:
Accurate and high speed data entry skills.

Ability to prioritize and complete tasks by specific deadlines with close attention to detail.

Knowledge of general bookkeeping principles.

Ability to maintain helpful and cooperative attitude.

Knowledge of word processing/spreadsheet software including Excel.
