Our Boise office has an exciting opportunity for a full-time Receptionist/Administrative Assistant to join our growth-oriented professional engineering and environmental consulting office. We are seeking a positive, motivated person who enjoys multi-tasking and learning on the job. The position provides a variety of clerical, admin, and project support functions as outlined below.

Responsibilities

This role includes being responsible for the day to day administrative support of the office. This includes:

Answer phones, greet clients and guests

Work directly with and assist office Administrative Supervisor

Coordinate fleet and rental vehicles

Process accounts payable and expense reports

Word process, format, and produce complex documents, reports and contracts, including text, tables, spreadsheets, graphics and other diverse content

Write and edit correspondence and meeting minutes

Proofread reports, correspondence, and other documents for accuracy (spelling and grammar)

Perform assignments of confidential nature for various groups and managers

Schedule meetings and coordinate details as needed (i.e., lunches, supplies, A/V equipment, etc.)

Order office supplies

Maintain and organize office, break room, and production room

Operate and coordinate maintenance of office equipment and machines

Make travel arrangements for staff

Run errands as needed

Handle all incoming and outgoing mail and shipping

Coordination with building management regarding maintenance

Research, including internal BC resources, regional, city/county resources, other government agencies, and other sources

Understand, implement, and adhere to corporate policies related to finance, cost control, project delivery, safety, and quality assurance

Perform related duties as assigned

Position Requirements

Requires high school degree plus at least three years of experience in a professional office setting

Must be proficient in Microsoft Word, Excel, Outlook, and Power Point

Must be able to work with the different personalities and their assignment needs while meeting the overall needs of the office/company

Candidate must possess a positive attitude

Detailed oriented

Candidate should be self motivated, able to multi-task, prioritize, work both independently and in a team environment, and under deadline pressures

Candidate must be willing to work extended hours under deadline conditions

Excellent coordination and organization skills

Excellent written and verbal communication skills

MS Project and Access skills are a plus

Technical editing/writing experience a plus

Some level of basic IT functions a plus
