DESCRIPTION: Under general supervision, the Administrative Assistant II will provide comprehensive and confidential administrative, clerical, and logistic support to the Office of the Dean for the College of Arts and Sciences and acts as an office receptionist.
Acts as first point of contact for office walk-in and telephone traffic, providing information and assistance to visitors, administration, faculty, students, and parents. Assists in the administration of First Year Seminars, Student Orientation, Advising Programs, Academic Status Reports, Academic Petitions, Field Trips, and ARB cases. Updates and tracks through spreadsheets budget information related to First Year Seminar, Field trips, and Associate Dean. Provides comprehensive administrative assistance by processing forms and maintaining tracking spreadsheets dealing with student overloads, petitions, field trips, and Academic Status reports. Provides general support in maintaining the Associate Dean’s calendar by, confirming appointments, and scheduling group meetings as assigned. Maintains department confidence and safeguards operations by keeping information confidential; adheres to all safety and housekeeping policies and procedures. Contributes to team effort by accomplishing related duties as needed. Performs other duties and special projects as assigned or directed.
MINIMUM QUALIFICATIONS: Position requires a high school diploma or equivalent, and two (2) to three (3) years of additional coursework in related fields such as business, secretarial, computer software/word processing and spreadsheet programs plus three (3) to five (5) years of related experience in a similar position or an equivalent combination thereof. Considerable knowledge of secretarial procedures, methods and techniques, word processing, spreadsheet, and software programs (Word, Excel, and Outlook), ability to create and maintain spreadsheets, read and track budgets, craft mail-merged documents, good verbal and written communication skills, have a calm and pleasant phone demeanor with proper phone etiquette, and have good listening skills with the ability to sift through a question or complaint by tactfully asking probing questions to determine the core issue. Must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff.
