Position Details:
The HR Assistant position reports to the Downstream & Chemicals (DS&C) HR Manager for North America, and provides support to the DS&C North America HR Team and HR Manager, along with the DS&C HR Manager for the Americas. The HR Assistant position works in partnership with two other HR Assistants on the DS&C North America HR team.
This position requires the ability to discreetly and routinely handle confidential information. Responsibilities for this position may include but are not limited to:
HR Reporting
Generate regular and ad hoc reports from various Chevron HR systems (EPH, SAP/BI, GTMIS, etc.)
Data/reports include, but are not limited to, org. data, GTMIS, diversity, service dates, headcount, vacation/loss time, PMP, 3x3, CDPs, NTC/SLD workshop completion, FLF/CLF/CHAMP nominations, expat/payroll transfer/immigration/visa, CEEL, and others.
Support for HR Data Quality initiative and other data clean-up. Regularly monitor data for accuracy and request & coordinate updates to maintain data integrity to accurately reflect the constantly changing organization. Data validation support for AAP reports and Pay Determination.
Request & coordinate organization/position updates for HRBPs’ select leaders.
Gather and consolidate information for succession planning and other talent management processes.
HR Support for DS&C North America HR
ePMP administrator/support
Pay Determination Tool (PDT) support
Research & answer routine HR questions for employees and supervisors (e.g. I-9 form completion, timekeeping, payroll, etc), directs employees to web information, HR Service Center or HR Shared Services as appropriate; or refer issue to HRBP or HR Manager.
Works with payroll and HRIM to update hourly rates for represented employees.
Participation in various networks/committees (HR Admin/Asst group, CEEL, BI Network, etc.)
Salary change reports for managers (generate & help distribute).
Administrative Support for Americas HR
Scheduling & logistics (e.g. teleconferences, agendas, and binders preparation)
Travel arrangements
Supply ordering, Pcard administration
Shared drive and Share Point document management
Retrieves personnel files
Compose and update business correspondence, as appropriate
Edits/prepares reports and presentations as requested/needed.
Other
Back up to other HR Assistants as required
Other projects as directed
Standard and 9/80 schedules available
Required Qualifications:
Job Knowledge
Three years work experience in HR and/or Administrative assistant field;
Demonstrated understanding of basic Chevron HR products, services, policies, and practices and/or where to obtain information;
Demonstrated practice of absolute confidentiality.
Reporting/Computer Skills
Demonstrated experience at gathering data using SAP HR Inquiry (R/3) and BI (inquiry and reporting); working knowledge of Chevron HR systems (e.g. EPH, SAP/BI, GTMIS, ePMP, LMS);
Proficient at using Microsoft Excel, PowerPoint, Word, Outlook (e-mail/calendar/scheduling); AT&T Connect; Global Travel Link (GTL);
Ability to consolidate data and information to all levels of management.
Organization and Planning Skills
Demonstrated ability to work for multiple team members with minimal supervision and guidance.
Ability to plan and organize own work; independently set own work priorities.
Demonstrated ability to manage and complete multiple tasks simultaneously while being flexible to changing priorities, assignments and deadline; sometimes working with tight deadlines.

Preferred Qualifications:
Bachelor's degree or equivalent work experience.
Three to five (3-5) years of HR and administrative support experience.
Supported more than one manager/HRBP.
Demonstrated use of SAP/BI reporting.
Demonstrated use of Chevron's Pay Determination Tool (PDT).
Demonstrated use Chevron's ePMP tool administration.
Demonstrated use of Chevron's Global Talent Management Information System (GTMIS).
