The Department of Social and Health Services, Financial Services Administration (FSA) Regional 3 Business Center is recruiting for one (1) permanent position located in Tacoma.
This position shares in the responsibility to process, balance and enter all time and attendance source documents into the statewide Leave Tracker and Human Resource Management System (HRMS) payroll system for Aging and Disability Services Administration (DDD and HCS Offices), Children’s Administration, Economic Services Administration, and Juvenile Rehabilitation Administration within the Regional Business Center (RBC). This position performs a variety of manual and automated time and attendance input tasks. The incumbent prepares monthly attendance reports and generates and balances semi-monthly payroll reports within strict timelines to ensure DSHS employees are paid timely and correctly.
This position assists with receptionist duties, processing incoming/outgoing mail, provide fiscal level backup support to one unit in the RBC, and will perform business office support duties for the DSHS Region 3 Business Center.
Duties included, but not limited to:
o Using Leave Track and other timekeeping tools, gather information from the field inputs time and attendance information for DSHS Region 3 assigned staff members through HRMS which includes but is not limited to part-time hours, part-time holiday accruals, shift differential, work schedule adjustments, overtime, standby, and leave within allotted payroll deadline.
o Semi-monthly balances Leave Tracker standardized reports with HRMS standardized payroll reports within allotted payroll deadlines.
o Runs standardized payroll and related cost reports.
o Audits time and attendance reports between HRMS and Leave Tracker, updates leave accruals when necessary.
o Updates Leave Tracker Property Screen with staff information as needed.
o Coordinate with Field Offices on time and attendance issue.
o Point of contact for DSHS Payroll office.
o Assist employees with time and attendance questions.
o Receives and inputs change requests.
o Assists higher-level fiscal personnel with backup support to one unit within the Region 3 Business Center.
o Received monthly vehicle usage reports and enters vehicle mileage for Department of Enterprises Service (DES) vehicles assigned to Administrations in the DES Asset Works Info Center system by the 25th of the month.
o Assists in processing Region 3 Business Center mail; which occasional involves moving packages of up to 30 pounds.
o Assist in sorting, weighing and determining the appropriate postage of outgoing mail, using an electronic postage meter.
o Assist with receptionist duties if needed.
REQUIRED EDUCATION, EXPERIENCE, SKILLS AND ABILITIES:
High school graduation or GED equivalency
One year of fiscal or bookkeeping or fifteen quarter or ten semester hours of college level accounting and data entry experience with focus on accuracy.

o Knowledge of basic accounting practices and the ability to apply practical accounting techniques.
o Ability to process large quantities of fiscal data with consistency, accuracy, and efficiency.
o Ability to multitask and schedule self to meet payment and report deadlines.
o Must have excellent communication skills and the ability to work effectively with staff at all levels.
o Optimize limited resources, and support the organizational goals.
o Ability to coordinate with others.
o Ability to learn specialized computer systems, AFRS, Enterprise Reporting, TRACKS, HRMS, Leave Tracker, and any new programs that may be implemented for the desk position.
o Maintain assigned office hours of at least 40 hours per week, with a good work attendance record.
o Ability to understand and maintain confidentiality.
o Possess working knowledge of Microsoft Word, Excel, and Outlook, basic math skills and the use of a 10 key calculator.
o Model and reinforce socially responsible behaviors and values; and behave in a professional and respectful manner toward clients, colleagues, and others in the workplace and community.
NOTE: This position is covered by a union security provision. Therefore, as a condition of employment, candidates who are appointed are required to become members of the Washington Federation of State Employees, or pay other representational fees within the first 30 days of employment.
