SUMMARY OF POSITION :
Responsible for providing sourcing/procurement support to key functional stakeholders within the Pharmaceutical Business Unit. Responsibilities include: the execution of Purchase Orders; Expediting; Resolving Invoice Exceptions; Order Close-out; Negotiating; Enhancing Supplier Relations; Reviewing Quote Analysis; Commodity/supplier spend reporting; and other activities alligned with Advancing Compliance with Global Sourcing and Corporate Inititives and Promoting the Attainment of Business Unit Objectives. Responsible for administrative support for the Purchasing department.
SCOPE OF POSITION:
Responsible for an annual spend of approximately $15 million for assigned categories generally associated with Travel Services, HR systems, Professional Services, and Clinical Research.
ESSENTIAL FUNCTIONS :
Interface with key stakeholders in R&D, External Manufacturing, Engineering, Quality, Regulatory Affairs, Clinical Affairs, Marketing, Manufacturing, Finance, Medical Affairs and other disciplines to support sourcing, selection and qualification of new suppliers.
Manage the order fulfillment process and Expedite orders.
Assist Property Accounting with assignment of asset tags.
Maintain effective communications with key internal customers and external suppliers.
Coordinate set up of new supplier information in JDE.
Resolve invoice and DART exceptions.
Perform necessary transactional activities to support the Purchasing Department, such as commodity and supplier coding, and spend reporting.
Coordinate with the Logistics department to determine Incoterms.
Administrative activities include, but not limited to:
Order and maintain inventory of department office supplies and business cards.
Coordinate team building events and arrange catering for meetings.
Maintain journal subscriptions, FedEx mailings and AT&T Conferencing charges.
Schedule / plan travel arrangements for Purchasing Leadership Team members.
Manage schedules of Purchasing Leadership Team members.
Schedule meetings upon request for and with Purchasing Leadership Team members.
MINIMUM REQUIREMENTS :
High school diploma required; Bachelor degree preferred
Minimum of 6 years of related Admin/Coordinator experience within a large organization and a minimum of 1 year experience with Purchasing activities, including knowledge of purchasing system functionality.
JD Edwards/BPCS Systems; chemical/scientific purchasing experience a plus.
Manage multiple priorities while meeting deadlines. Strong command of MS Word and Excel required.
ORGNIZATIONAL RELATIONSHIPS/SCOPE :
Position reports to Director Sourcing for Pharmaceuticals. The position will work closely with all Category Directors in the Procurement group as well as other functional groups outside of Procurement as needed.
