Provide broad support to regional manager/s and field leadership to grow the NAM’s membership. Assist and execute leadership events and member involvement initiatives outside of Washington, DC. Manage all field member and prospect information in NAM database and field documents. Work collaboratively with others at all levels in the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Support retention and growth goals of the field division and for region/s assigned.
Work closely with regional manager/s to execute leadership meetings, congressional dialogues, plant tours, NAM awards events and leadership visits in the Field.
Create itineraries, agendas, invitations and briefing books. Prepare and coordinate all meeting materials including notification forms, attendee lists, agendas and other related correspondence. Maintain financial accounting to include generating invoices and financial reports.
Attend and/or staff events as directed.
Support executive outreach and prepare all necessary background materials and organize event reports.
Prepare briefing materials for NAM leadership (NAM president, senior management) in advance of visits to field.
Provide broad administrative support for field division and regional manager/s.
Draft, edit and proof read all invoices, professional letters, memos, itineraries, emails, mailings and other general correspondence.
Manage members' requests, following up on information, document preparation, correspondence or reports.
Maintain accurate member and prospect information in the NAMIS computer system, such as: company officers' titles, addresses, current financial information and member invoicing information. Keep internal lists up to date.
Perform basic research using the Internet and other tools to gather such information. Stay alert to items of interest pertaining to companies in assigned region/s and notify supervisors of such information.
DEGREE OF SUPERVISION RECEIVED:
Direct supervision by Regional Manager/s and Field management team.
TYPE AND PURPOSE OF CONTACTS:
Within NAM: Work with NAM staff at all levels.
External to NAM: NAM members, prospective members, and Congressional staff.

EDUCATION and/or EXPERIENCE:
Minimum of high school education; at least four years secretarial and/or administrative experience. Must be well organized and self-motivated, able to work well under pressure in a fast-paced environment and be able to coordinate workload to meet deadlines. Proficiency with Microsoft Office suite (Word, Outlook, Excel) and accurate typing skills required. Must have excellent telephone and interpersonal skills (with ability to handle VIP calls and build relationships with key staff); flexibility/adaptability, and excellent proofreading skills.
