ummary of Job Responsibilities:

Perform a variety of office support in the areas of personnel management, resource management, administrative and secretarial duties for the department.
This is a job progression, three job levels, designed to provide progressively more responsible and independent work experiences to participants as part of the overall assessment of their ability and capability. Promotion between job levels is based on performance on prior assignments and the demonstrated ability to successfully handle more progressively responsible assignments.

Outline of Essential Job Responsibilities/Functions to Include but Not Limited to:

Customer Care & Relationships:
  • Creates, develops, and nurtures culturally appropriate interactions and connections with each other, customer-owners, and the community.
  • Provides exceptional customer service.
  • · Receives customers to the department in a friendly, professional and courteous manner.
    · Answers phones and directs calls to appropriate staff member or department. Takes messages as required. Determines which can be handled by staff members and which need management. Personally responds to non-technical questions regarding department.
    · Assists customers by providing accurate information that meets the customers’ needs the first time.
  • Works with customers in a positive and courteous manner to establish and maintain effective working relationships.
  • Maintains quality, safety and infection control standards.
  • Communications & Teamwork:
  • Shares and receives information, opinions, concerns, and feedback in a supportive manner.
  • Works collaboratively by building bridges, and creating rapport with team members within departments and across the organization.
  • Works as an active participant in a team environment.

  • Makes meaningful improvement to services, program, and processes and/or organizational effectiveness that creates new value for customer-owners and employees.
  • Manages projects as assigned.
  • · Completes projects as outlined by the supervisor in a timely manner.
    · Researches information needed to complete projects.
    · Makes suggestions for strategies that would improve the administrative processes within the department assigned.

  • Takes responsibility for all work activities and personal actions by following through on commitments.
  • Completes administrative duties.
  • · Completes a variety of computer based tasks related to documentation in the appropriate format. Examples include but are not limited to: typing correspondence, memos and reports; transcribing dictation; completing applications; meeting minutes and agendas; registration and billing; personnel paperwork; requests for proposals; contracts; creating charts, graphs and tables.
    · Obtains and documents all necessary information required to provide services needed.
    · Orders and maintains office supplies and equipment, maintenance services and any other items necessary for operation of the department.
    · Assists in generating requisitions and purchase orders as required for administrative support, verifying appropriate use of funds citation and chart of accounts.
    · Acts as a resource and trains others.
    · Arranges meetings and events as directed. Duties include but are not limited to: securing location, arranging equipment and necessary supplies, notifying participants, creating agenda; and completing event or meeting evaluation.
  • Provides administrative systems management for department.
  • · Establishes and maintains an authorized system of administrative files; develops and monitors a system to track the status of various actions and correspondence.
    · Creates and maintains electronic database records as required.
    · Schedules appointments and meetings per established guidelines.
    · Completes administrative duties related to travel, training, timekeeping and other appropriate administrative functions.
    · Maintains electronic telephone and e-mail directories for the department.
    · Gathers information and creates reports as needed.
    · Coordinates a wide variety of administrative duties within the department or area assigned.
  • Operates office equipment.
  • Uses a computer.
  • Additional Responsibilities for Administrative Support II: Meets all requirements of Administrative Support I in addition to the following:
    Customer Care & Relationships:
  • Resolves conflicts and deals with the public in a cordial manner.
  • Refers and adheres the Privacy Act of 1974 to maintain and safeguard confidentially of patients medical and personal records.
  • Refers to policies and procedures necessary for preparing records, documentation and mandated reports for department’s programs.
  • Communications & Teamwork:
  • Communicates effectively orally and in writing.
  • Improvement & Innovation:
  • Research topics as requested and organizes and reports relevant information.
  • Workforce Development Skills & Abilities:
  • Applies administrative skills.
  • Uses computerized word processing, spreadsheet and/or database software.
  • Accomplishes a variety of concurrent tasks on a day-to-day basis and makes appropriate decisions in performing duties independently to meet the needs and goals of the department.
  • Completes tasks in a timely, organized and professional manner ensuring adequate follow-up.
  • Gathers and analyzes data in a statistical format.
  • Additional Responsibilities for Administrative Support III: Meets all requirements of Administrative Support II in addition to the following:
    Customer Care & Relationships:
  • Applies exceptional customer service skills.
  • Improvement & Innovation:
  • Initiates solutions to identified issues independently.
  • Workforce Development Skills & Abilities:
  • Uses advanced word processing, spreadsheet and database software.
  • Provides administrative support in a timely and efficient manner with few errors.
  • Demonstrated knowledge of and skill at the functions and responsibilities of the department.
  • Manages multiple priorities and tasks concurrently and while meeting deadlines.


    SCF programs are established for the purpose of serving a primary population comprised of Alaska Natives who are affiliated with the Cook Inlet Region Inc. (CIRI), and Alaska Natives and American Indians within SCF’s geographical service area. Employees should have a thorough understanding of the cultures and the needs of the CIRI members, and of the general culture and needs of Alaska Natives and American Indians. Such knowledge is critical in order to ensure the achievement of the mission and vision of SCF: working together with the Native community to provide the best services with Native staff who value the family and family wellness as the heart of the Native community.
  • High school diploma or GED.
  • Additional Qualifications for Administrative Support II: Meets all requirements of Administrative Support I in addition to the following:
  • One (1) year prior experience performing administrative support duties or demonstrated proficiency as an Administrative Support I at Southcentral Foundation.
  • Additional Qualifications for Administrative Support III: Meets all requirements of Administrative Support II in addition to the following:
  • Two (2) years prior experience performing administrative support duties or demonstrated proficiency as an Administrative Support II at Southcentral Foundation.
  • If required, obtain certification as a Notary Public within six months.
