Under the general supervision of the Staff Services Manager I (SSMI), the incumbent is assigned to the IWAS Unit and performs projects related to the preparation, scanning, and indexing of documents for electronic imaging. Prepare, Scanning, and Indexing of Documents (Electronic Imaging):Scan batches of documents into the IWAS system using the scanning machine. Before scanning ensure all staples and paper clips have been removed from the documents, verify the DocType listed on batch cover sheet is correct. Define the batch and scan documents. Verify documents for acceptability. View the first page of each document to ensure the document is readable and rescan if necessary. Verify the count of scanned documents match the count on the batch cover sheet. If batch counts do not match, resolve the issue by manually counting the batch to determine if batch was incorrectly prepared or a scanning error occurred. Complete the batch cover sheet, then place the batch in the appropriate basket for indexing.Index documents that have been scanned into the IWAS System by typing the unique identifier, date the document was received by the CSLB, and selecting the correct Doc Type into the index entry fields for the imaged document captured.Review, research, and resolve any missing or incorrect aforementioned information
on documents scanned by using CSLB’s computer systems. Verify the information typed is correct to ensure the document is committed accurately into the system. Prepare mail daily to create logical batches for scanning / indexing by opening and sorting mail into various DocTypes. Remove staples, paper clips, and repair tears /sliced pages on the documents. Remove and review attached documents to determine appropriate action. Deliver documents to appropriate unit or person if determined document needs further review. Organize each batch by orienting the top of each page in the same direction, insert document separators when appropriate, and complete the batch cover sheets. Perform daily/weekly cleaning of the scanning equipment and complete scanner
cleaning sign off sheet. Call for maintenance when needed
