POSITION SUMMARY:
Under the direct supervision of the Corporate Director of PCTI this position provides administrative and secretarial support for the Corporate Director of PCTI, Assistant Director and the PCTI Department. The Administrative Assistant will also be responsible for coordinating daily office operations and a variety of administrative duties including booking meetings, providing budgetary support and provides support on EBP projects and other projects as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provides executive level support to the Corporate Director and Assistant Director in daily operations.
Provides support in the submittal of proposals (mailing of proposals, research, etc.).
Travels to corporate office and/or other local agencies to deliver documents/assignments, as needed.
Prepares and distributes all books/materials for Department of Mental Health (DMH) reimbursement forms for Evidence-Based Practice (EBP) projects, as needed.
Process invoices, tracks expenses, and process mileage reports.
Tracks revenue via Express MPS, PayPal, credit cards and checks received.
Tracks registrant enrollment, produces transaction reports and ensures payments are received.
Prepares budget for review for Corporate Director and Executive Management.
Obtains vendor quotes to ensure acquisition of best bid.
Oversees and schedules meetings for staff.
Maintains service contracts and licensures for office operations (Cvent, WebEx, APA, CFAAP/CADAAC, etc.).
Responsible for scheduling office maintenance (e.g., set up, create welcoming environment and maintains the aesthetics of PCTI).
Updates PCTI Voicemail accordingly (i.e. during holidays, etc.).
Oversees front office functions.
Orders office supplies.
Provides support to PCTI staff as assigned.
Ability to multi-task and lead new projects as needed.
Responsible for reporting to work on time and maintaining reliable attendance in accordance with Agency policy.

Requirements

EDUCATION and/or EXPERIENCE/POSITION REQUIREMENTS :
High School Diploma and some college preferred.
Must be able to travel intermittently to/from the Clinics offices to support PCTI’s expanding training needs
Excellent computer skills and demonstrated ability to work in Windows environment (including Work and Excel).
Cvent and WebEx experience preferred.
Detail-oriented with ability to avoid and detect errors in fast-paced, high work volume environment.
Flexible and able to handle multiple priorities and demands.
Ability to work within a team.
Ability to maintain confidential information.
Must possess a valid California driver's license and maintain an insurable driving record under the Clinics' liability policy.

PHYSICAL DEMANDS:
While performing the duties of this job the employee is frequently required to stand or sit. The employee is required to use hands to produce records and/or documentation in manual or electronic format. The employee must regularly lift and/or move up to 5 pounds and occasionally move or lift up to 10 pounds.
