Position Summary:
Aveda, America’s premier creator and marketer or plant-based haircare, skincare, make-up, PureFume™ and lifestyle products seeks an Administrative Assistant II to provide administrative support to the Vice President, Finance & Strategy and Finance team.

Key Responsibilities:
Assist with preparing presentations and documents for meetings, including high level meetings with senior Estée Lauder management.

Coordinate preparation and shipment of all materials for strategy and budget meetings.

Assist with preparation and maintenance of detailed spreadsheets regarding Company financials.

Manage calendar to include scheduling and set up of meetings, coordination of meeting rooms and video conference equipment.

Screen incoming telephone calls and relay detailed messages or re-direct callers. Proactively review e-mails to flag any high priority items and respond on behalf of VP as needed.

Make travel arrangements and compile trip information (i.e. itinerary, locations, complete expense reports).

Prepare expense reports for VP and review expense reports requiring VP approval.

Manage and distribute incoming mail for Finance Department.

Order and organize all office supplies for Finance Department.

Provide occasional support to Finance Team including scheduling group meetings and departmental team event planning.

Participate as a member of the Stewardship Team Assistant Committee.

Qualifications

Education:
High School Diploma or equivalent.

Bachelors degree preferred.

Experience:
5+ years administrative support experience

Others:
Excellent communication and interpersonal skills

Excellent computer skills including Microsoft Office applications (Outlook, Word, Excel, PowerPoint)

Superior organizational skills

Ability to handle confidential matters

Ability to handle numerous tasks in an efficient and timely manner

Ability to work overtime as required
