SecondMarket is seeking an experienced Administrative Assistant/Office Coordinator to support our growing Private Company team in San Francisco. Candidate should be proactive, reliable, and able to multitask efficiently. We are looking for someone with exceptional attention to detail, a positive, can-do attitude, and the ability to work well with clients and co-workers. Candidate must be a self-starter and able to work independently or in a group.

Responsibilities: 60% Administrative Support for Sales Team

Day-to-day calendar management for the Private Company team

Coordinate extensive travel arrangements, with emphasis on cost effectiveness and efficiency

Record contact information and notes on leads and clients into Outlook and SalesForce

Work with NYC Finance Department to reconcile corporate credit card statements and process team reimbursements

Maintain paper/electronic files

Responsibilities: 30% Office Management

Reception duties – greet guests, answer phones, book conference rooms

Day to day management of the office

Act as a liaison with property management and various vendors (i.e. hotels, caterers, office supplies, car services, coffee/water suppliers, construction/maintenance etc.)

Negotiate vendor contracts as they come up for renewal

Order and maintain office supplies, food and beverages

Maintain the office budget

Work with HR to manage office layout with regard to new hire placement

Keep kitchen and supply closets properly stocked

Distribute incoming mail; process outgoing mail and packages

Responsibilities: 10% Event Support

Assist the Events Manager with local SecondMarket events (i.e. set-up, printing name tags, checking in attendees)

Requirements:
Minimum 3 years of Administrative Assistant and/or Office Coordinator experience required

Bachelor’s degree at a 4-year college in good academic standing required

Self-motivated team player with excellent verbal and written communication skills

Must be physically capable to unpack, move, and stock office supply deliveries

Must be an all-around team player with a long-term commitment to the role

Exceptional interpersonal skills - must be able to interact with employees of all levels

Must be able to adapt quickly to shifting priorities and take initiative when crises arise

Must be proficient with Microsoft Office Suite

Background in facilities and budget management a plus

Prior experience supporting a team of 5+ people a plus

Prior experience working in a start-up environment a plus
