JOB SUMMARY: The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs.JOB ACCOUNTABILITY: Assisting the Head of Sales with any and all administrative tasks Managing expense reporting, calendar, travel itineraries, and marketing materials for the Head of Sales Performing due diligence on client accounts and research on prospective clients Providing general clerical and administrative support to all levels of professionals. Scheduling appointments, organizing meetings, maintaining appointment diary either electronically or manually. Preparing letters and documents, receiving and sorting out e-mail and deliveries. Conducting research, gathering data and statistical reports, and maintaining statistical information. Effective problem-solving skills. Strong follow-up skills Competent keyboard skills to produce accurate and well presented reports. Able to present information in forms, tables, and spreadsheets. Should be an effectual communicator verbally as well as through writing skills. Ability to operate under immense pressure. Heavy calendar management, including coordination of a variety of complex executive meetings. Assist executives with preparation of presentation materials Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner Research and arrange travel schedule and reservations for executives as needed Analyzing incoming email, requests and phone calls to determine their significance and treatment. Interaction with internal and external clients at all levels Working as a team with other Assistants
REQUIRED SKILLS/EXPERIENCE: Bachelor's degree from four-year College or university preferred; four to six years related experience and/or training; OR equivalent combination of education and experience. Advanced skills in Microsoft Suite (Outlook, Word, Excel, PowerPoint, Access) Excellent time management, proofreading and editing skills; extremely detail-oriented Ability to work with a sense of urgency and confidentiality while maintaining professional demeanor
