The Westin Kierland Villas Housekeeping Department is looking for guest focused professional to be the first point of contact within this busy support department. As the Housekeeping Office Coordinator, you will provide information and direction to our housekeeping associates and partnering departments. This is an administrative support role in which you will be responsible for answering phones, dispatching tasks via two-way radio, recording calls through Starguest and assisting with the distribution of rooms to the Floor Lead associates. Your willingness to graciously support the housekeeping department will truly impact the guest experience at the Westin Kierland Villas. Previous experience as a Receptionist/Administrative Assistant in a similar environment is preferred. Exceptional communication skills in English is a requirement. Fluency in other languages such as Spanish or Serbo-Croatian a plus! Strong computer aptitude (specifically with Microsoft Word/Excel/PowerPoint/Outlook) and writing skills are necessary components to this opportunity. POSITION PURPOSE

To ensure all Guest requests are delivered in a timely fashion, by utilizing StarGuest efficiently. To ensure that all goods are received appropriately and tracked in SAP accordingly. To ensure accuracy for all incoming/outgoing dry cleaning and lost-n-found items, based on policies and procedures.

ESSENTIAL FUNCTIONS

20% StarGuest monitoring throughout shift, dispatching calls to appropriate departments and closing calls as completed.

20% Monitoring all incoming goods, verifying based on copied purchase orders, and “receiving” in SAP accordingly. Responsible for maintaining cleanliness and organization of the loading dock.

10% Receiving, storing, tracking, disbursing all lost-n-found items, as specified based on policies and procedures.

10% Receiving and distributing all dry cleaning from Guests/Associates to Mastels, from Mastels to Guests/Associates. Maintain all stored unused uniforms.

10% Closing of Housekeeping department, through collection and tracking of all keys, radios, package passes, and paperwork.

10% Distribution of all work orders collected throughout the day, to ensure tracked in StarGuest and distributed/dispatched to Engineering accordingly.

10% Ensuring cleanliness and organization of Housekeeping office.

10% Tracking and monthly distribution of “clean” report, along w/ all other reporting (i.e. Inspection reports, etc.) Assigned to by leadership team.

Other:
Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required.

Upon employment, all employees are required to fully comply with Starwood rules and regulations for the safe and effective operation of the hotel’s facilities. Employees who violate hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.

SUPPORTIVE FUNCTIONS
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the particular requirements of the hotel.

Assist Housekeeping Leadership team with any administrative work necessary and assigned to, to ensure success within the department.

To assist with implementation of tracking devices to assist with improving processes within the department.

SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities.

Must be able to speak, read, write and understand the primary language(s) used in the workplace.

Must be able to lift up to 25 lbs., and move up to 50 lbs.

Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.

Talking and hearing occur continuously in the process of communicating with guests, supervisors and other employees.

Ability to spend extended lengths of time viewing a computer screen.

Vision occurs continuously with the most common visual functions being those of near vision and depth perception.

Requires manual dexterity to use and operate all necessary equipment.

Must have finger dexterity to be able to operate office equipment such as computers, printers, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.
