Special Information:
Job Overview Provides administrative support in a Correctional Infirmary setting. Is responsible to maintain orderly medical files of inmates. Performs routine office functions.

The work is light and mostly sedentary but requires extensive repetitive use of the hands typing material for data entry as well as for forms and correspondence. Works in a locked Correctional Infirmary with inmates with past histories of violent unpredictable behaviors. May be exposed to verbal and physical aggression from inmates.

Duties:
A. Medical Record management.
Collects and files reports, forms, progress notes and other documents in each inmate’s permanent medical record, to maintain an accurate, complete and legal record of each inmate for future informational needs
Prepares charts for newly admitted inmates ensuring that all necessary documents and forms are in the chart.
Establishes and maintains an orderly storage system for active and inactive inmate medical records in a secure area.
Responsible to retain and purge files in order to keep the medical records a manageable size with current information available to authorized staff.

B. Performs office functions.
Photocopies and distributes documents to enhance and maintain communication and operations of the infirmary.
Composes, types, and edits correspondence and reports using knowledge of English composition and grammar to communicate information.
Creates, organizes, and maintains filing system of material typed to provide orderly storage and efficient retrieval and availability
Provides administrative assistance to the Care Plan Team. Writes and edits meeting minutes by interpreting the content of the meeting and including pertinent information to be distributed to staff.
Answers incoming phone calls and directs call to appropriate inmate or employee by using the telephone intercom lines, paging system, or written messages to ensure prompt communication of information.
Receives and sorts incoming mail to assure orderly and punctual distribution.

Competencies:
  • Knowledge of Microsoft Word and Excel.
  • Knowledge of office practices and procedures, telephone etiquette, business English, spelling, composition, and grammar.
  • Good organizational skills.
  • Typing speed of 60 wpm net.
Education/Experience:
  • High School Diploma or equivalent
  • One year of job related college or vocational training
