Performs a variety of on-going clerical functions such as document processing and record-keeping. Work requires intermediate knowledge of departmental policies and procedures. Provides blank forms and answers routine questions. Processes forms, applications, and other documents according to department instructions. Receives and classifies material by simple headings. Files material in accordance with department procedures. Receives and reviews documents and forms for completeness and accuracy. May prepare form letters or convey information regarding data necessary to complete processing. Answers telephone, conveys messages, and runs errands. Plans and schedules work with assistance of supervisor. Sorts and distributes mail. Assists with office mailings by addressing and stuffing envelopes. Operates reproduction equipment. May compute amounts using adding machine/calculator. May utilize PC to record, store, retrieve and present information. May provide guidance and direction to temporary or part-time clerical staff. May assist in the maintenance of the department web page. May be responsible for the purchasing of office materials, equipment, supplies, etc. and maintain inventory. Performs related duties as assigned.
Graduation from high school or equivalent and one year of general office experience. Some positions require typing as well as basic understanding of computer software/hardware capabilities and applications. Oral and written communication skills to deal effectively with varying levels of DCCCD staff, students, vendors and the general public from diverse backgrounds. Ability to provide quality customer service. *Will be subject to a criminal background check. *
Position Specific Qualifications
Sells advertising through phone calls, e-mail and in-person visits.
Mails invoices and tearsheets to advertisers and keeps track of payments.
Communicates with advertisers regarding publication dates, ad sizes and prices, and deadlines.
Coordinates ad placement with student editors and the Student Publications manager.
Assists with Student Publication newspaper distribution and other events.
Works with light, easy to handle materials. Some positions may occasionally be required to lift and carry moderately heavy material or equipment weighing up to 50 pounds.
