Under minimum supervision, performs advanced and diversified administrative duties for the Chief Marketing Officer. Many assignments are of a highly-confidential nature and require broad and comprehensive experience, discretion, strong interpersonal communication skills, and knowledge of organizational policies and practices.
Perform diverse and complex administrative duties using initiative, judgment, and technical skills.
Work proactively to manage and schedule daily calendar and business activities. Use sound judgment to maximize time and effectively schedule meetings and appointments.
Interact and establish relationships with customers, vendors, high-level executives, and administrative assistants.
Manage and coordinate routine and complex domestic and international travel itineraries and coordinate related arrangements.
Coordinate internal and external business meetings and logistics. Prepare agenda, reports, and other materials as needed.
Work closely with executive’s staff and Marketing group to ensure internal and external deadlines are met; maintain a goal-oriented attitude, assisting others as necessary to ensure that work flow is uninterrupted.
Screen telephone calls, greet visitors and resolve routine and complex inquiries. Screen electronic mail and respond accordingly. Monitor and maintain electronic mail daily.
Provide personal assistance including scheduling activities and events, and making personal travel/concierge arrangements.
Independently gather, compile and analyze information from multiple sources to prepare a variety of reports, manuals, or agendas.
Prepare monthly expense reports for executive; audit and obtain approval of expense reports for direct reports.
Enter and approve various purchase requisitions as requested.
15+ years of experience supporting senior-level management, with a minimum of 5 years supporting a Senior Vice President or above.
Strong customer service background.
Ability to manage shifting priorities and handle multiple tasks under pressure.
Ability to apply sound judgment and discretion and proactively respond to inquiries and requests.
Strong organization skills. Must be able to track numerous tasks, documents, and projects while keeping executive organized as well.
