This position will provide support to the People Center and Total Rewards functions. The People Center is responsible for delivering first-class customer service to associates, retirees, and other plan participants as well as processing all HR/benefits transactions using various systems. Total Rewards is responsible for global benefits and compensation strategy.
Duties and responsibilities will include a combination of the following: Support Director, Global HR Services in preparing reports and presentations for MSA leadership. Provide daily administrative support to the People Center and Total Rewards function, including but not limited to filing (paper and electronic), scheduling and coordinating meetings, preparing meeting agenda and minutes, scheduling travel, preparing expense reports, handling incoming mail, ordering and maintaining supplies inventories. Serve as backup to People Center Representative as needed, including but not limited to responding to customer issues and logging issues into HR Issues Database. Serve as department QMS Coordinator, which includes supporting the departments in documenting and formatting procedures, maintaining training records/matrix, monitor and audit departments for compliance. Review and process vendor invoices (e.g. health care providers, service awards, etc.). Prepares written correspondence to associates as part of standard HR and benefits processing, including but not limited to conversion letters, Initial COBRA letters, overage dependent letters, etc. Prepare and distribute new hire benefit packets. Fulfill and mail confirmation statements as needed for new hire elections and family status changes. Export SAP data for importing into Microsoft Access, including table updates and report generation. Process expert for global Service Awards Program, including coordination and transmission of global service awards eligibility files to external vendor and follow-up on all service awards inquiries. Tracks and verifies department expenses for corporate Visa cards, allocates charges to appropriate accounts, prepares for approval. Process owner and expert for record retention process. Maintains departments’ budgets. Coordinate mailings, including data preparation, merge, and fulfillment. Special projects as assigned by Director, Global HR Services, Supervisor HR People Center or Manager, Benefits and Compensation.

Education and experience required: A high school diploma or equivalent This position is available at two different career levels depending on experience, education, etc: Level one: Less than three years of experience in an administrative support role or office Level two: Three years of experience in an administrative support role or office
Preferred: Experience in Customer Service
