The Meeting & Event Specialist manages the coordination and preparation of event logistics across our client base. This position will work closely with Meeting & Event Coordinator and or other Meeting & Event Specialist to ensure the successful implementation of all our client event services.
DUTIES
Plan and manage logistics of meetings, conferences and events, trade events and training courses. Including venue selection, food and beverage planning, A/V planning, and coordination of marketing materials and communications.
Ability to negotiate venue and hotel contracts.
Work with vendors to plan catering, audio/visual, giveaways, entertainment, photography, travel, hotel accommodations, etc. to ensure high quality events that are cost efficient.
Assist with the development and management of event budgets.
Travel onsite to events as needed to manage event operations.
Assist with set-up of online meeting registration systems/sites.
Provide administrative support as needed; manage other projects as needed.
Plan and develop programs, agendas, budgets, and services according to customer requirements.
Meet with clients and organizing committees in order to plan scope and format of events, to establish and monitor budgets, and to review administrative procedures and event progress.
Direct administrative details such as dissemination of promotional materials and confirmation of event logistics.
Evaluate and recommend providers of services according to customer requirements.
Read trade publications, attend seminars, and consult with other meeting professionals in order to keep abreast of meeting management standards and trends.
Organize and set up registration of event systems.
Expand knowledge in the events field and learn about industry trends
QUALIFICATIONS
Three to five years meeting planning experience, marketing and administrative experience.
Must be detail-oriented, with effective organizational and project management skills, including the ability to manage multiple projects/tasks and deadlines simultaneously in a fast-paced, deadline-driven environment.
Must be a self-starter, with the ability to work well under pressure, work independently with limited supervision and have solid problem-solving, judgment and decision-making skills.
Excellent customer-service and interpersonal skills.
Strong writing and editing skills.
High level of creativity and "rolled up sleeves" working style.
Flexibility to work independently and as a team player.
Proficiency with Word, Excel, PowerPoint and knowledgeable about Adobe.
Associates or Bachelor's degree with a concentration in hospitality management.
Must be willing and able to travel domestically and internationally as needed.
