Job Summary:
This position analyzes both historical and current production data in order to create and manage a schedule of work to complete retrieval of records from route facilities.

This role is responsible for supporting the planning, leading, organizing and executing of route planning and management to provide for quality customer services and high customer satisfaction, financial profitability, and an optimally utilized and satisfied workforce.

Essential Duties and Responsibilities:
·

Oversees and monitors route planning operations and route retrieval staff. Monitors workload and checks on current status of assignments and work schedule of route retrieval staff.

·

Drives quality assurance and performance improvement as needed. Works with field supervisors and staff to achieve desired results on tasks performed and accuracy.

·

Analyzes historical and current data, and creates optimal route plans and forecasts of work, and communicates this to route retrieval staff.

·

Maintains working knowledge of the route facilities and staff in their area, and current workload therein.

·

Engages with client facilities to build and maintain a positive working relationship, and addresses concerns or issues in regards to managing schedule of services and HealthPort employees present at said facilities.

Completes routine and non-routine reports and submits to management.

·

Assists in completing required paperwork accurately, legibly and in a timely manner (to include but not limited to new hire paperwork, time worked, PTO & leave requests, and expense reimbursements).

·

Provides excellent customer service by being attentive, respectful and professional at all times; ensures understanding of customer request and follows through as promised; is proactive in identifying and addressing client concerns. Helps resolve customer service matters in a professional manner.

Assists field organization in recruiting and hiring qualified staff commensurate with defined job responsibilities.

·

Ensures that staff is oriented, trained and assessed (including but not limited to ROI & HIPAA regulations).

·

Maintains confidentiality, information security and ethical behavior when handling all HealthPort and medical records information during transport, storage and disposal. Will not remove medical records information from member site unless written authorization is provided by the facility’s Health Information Management Director, HealthPort District Manager or Regional Vice President of Operations.

·

Performs responsibilities in accordance with HealthPort and member facilities policies and procedures and state and federal labor regulations.

·

Performs other duties assigned.

Qualifications

Minimum Qualifications

·

Ability to effectively use computer software and technology including Microsoft Word and Excel. Familiarity with MapPoint and Salesforce are preferred.

·

Ability to understand and become knowledgeable of Release of Information standards, policies & procedures and HIPAA regulations and to complete work in compliance of these and other standards.

·

Proven customer service experience and/or training.

·

Ability to read and comprehend complex healthcare terminology.

·

Must demonstrate effective customer service skills and achieve high customer satisfaction.

·

Effective organizational skills.

·

Must be able to use fax, copier, and multiline phone system and other required work tools.

·

Must be willing to learn new equipment and required processes in a fast paced environment.

·

Ability to work professionally, effectively, and efficiently in a team environment with customers, management and co-workers.

·

Strong analytical skills desired.

·

Ability to generate ideas to make existing processes more efficient.

·

Must be able to multi-task effectively.

·

Must be willing to travel to multiple sites based on the needs of the region.

·

Must have excellent leadership and good decision making skills.

Education:
·

At least 2 years of previous release of information, medical records, or other related experience and 2 years of management experience in a healthcare environment or;

·

High School Diploma (GED) required, at least 4 years of previous release of information, medical records, or other related experience and 2 years of management experience in a healthcare environment.
