The purpose of this position is to tactically support everyday activities of Construction, Project Management and Procurement departments providing general administrative support.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Assist Director of Construction, Project Management & Procurement with the planning and preparation of department/function specific processes.
Schedules appointments for immediate supervisor and staff members, records time and date of appointment on calendar
Performs filing and record management activities per standard procedures; retrieves material from files upon request
Answers telephone, responds to routine inquiries, routes calls to appropriate individual, takes messages, and places outgoing calls
The role will have view of confidential information and is required to safeguard confidentiality in an ethical and professional manner.
Provide data entry assistance.
Provide assistance for invoicing and expense reporting processes.
Order and maintain stationary levels and supplies for the Department
Provide assistance for invoicing and expense reporting processes.
Photocopy, file and archive documents as required.
Proofreads all typed material, correcting typographical and grammatical errors
Types memoranda, agenda, form letters, request for quotations, purchase / change orders, inspection books, reports, and simple manuscripts from rough draft to final form
Process incoming and outgoing mail.
Assist with Business Travel and accommodations.
Any other ad-hoc tasks as delegated or required.
Minimum Education: High School Diploma or equivalent
Minimum Experience: 5 years in similar or related role. Experience in a matrix organization a plus with multiple bosses.
Experience, Training, & Qualifications considered necessary: Microsoft Office, 5 years administrative assistance experience.
