Serve as Registration Coordinator. Develops and maintains the course schedule. Advise undergraduate and graduate students; assist the Director of Undergraduate Studies with student service activities; provides administrative support to the Directors of graduate programs; coordinates with the departmental leadership on student support activities such as recruiting, fundraising and external communications with alumni and other stakeholders. Responsible for processing human resources paperwork for graduate assistantships.
1. Serves as Registration Coordinator- E/40%
a. Develops and maintains the course schedule for the department.
b. Ensures courses follow a standard time pattern; enter site identifiers for off-campus courses; meets special needs of instructors; assigns classrooms; assists with collection and entry of course grades on eight key dates per year.
c. Monitors the fill rates, and sets enrollment restrictions to create the desired distribution of students by class, level, or course; add/drop students from class rolls according to enrollment restrictions.
d. Manages request logs to ensure efficient and appropriate scheduling at all levels.
e. Maintains English major student and advisor lists.
2. Student Services Support- E /35%
a. Assists Director of Undergraduate Studies with student services activities, recruitment and retention activities, enrolled student services, and the department's internship program.
b. Serves as primary Advisor for first-year undergraduate students.
c. Assists with freshman and transfer orientation sessions (NSSAP Advisor); evaluates transfer credits; assists with orientation, and workshops.
d. Coordinates honors and awards for the department.
e. Approves courses taken elsewhere and course substitutions.
f. Prepares recruiting materials for potential undergraduate students and advising materials for pre-registration.
3. Administrative/Personnel Support- E/15%
a. Assists Directors of graduate programs with administrative duties.
b. Assists with alumni, donor relations, and external communication with all departmental stakeholders.
c. Processes human resources paperwork for graduate assistantships for submission to Human Resources, and the Graduate School.
d. Enters graduate assistant salary and GAD in the GS61 database for the Graduate School.
4. Other duties- M/10%
a. Consults with the Department Chair and Associate Chair on strategic concerns including departmental budget analysis, budget reconciliation, selection, and hiring process of faculty and staff members, and faculty evaluations.
b. Interprets curriculum and policies for student advising.
c. Assists other staff with personnel or office administration projects as necessary.
d. Cross-trains on other departmental roles.
A bachelor's degree and experience in student services programs.
PREFERRED IN ADDITION TO THE MINIMUM REQUIREMENTS:
Master's plus experience in student services preferred.
PAY & WORK SCHEDULE:
Standard Hrs: 37.5; Band: 05 ($ 31,182.00 - $ 57,695.00)
KNOWLEDGE, SKILLS & ABILITIES:
Knowledge of the policies and procedures affecting the assigned program area(s), student development and educational administration. Knowledge of the techniques of individual and group counseling. Ability to establish and maintain effective working relationships with students, parents, faculty, staff and general public. Ability to communicate effectively. Knowledge and skills with Microsoft Office applications.
