Job Responsibilities:
  • Assist with restructuring of Documentum
  • Support transfer visit files to Documentum
  • Backup of setting up weekly/bi-weekly meetings for group
  • Customer visits coordination/support
    • Identify customer visit requirements and business strategy in collaboration with technical/marketing groups, ADMs, RVPs and senior management
    • Develop meeting agenda, logistics, catering and site preparation plan
    • Determine requirements for equipment setup and shipment
    • Develop meeting agenda, logistics and site preparation plan
  • Benchmarks & RFIs support as needed
    • Participate in meetings regarding customer visits/benchmarks/RFIs as requested
  • Corporate Events calendar upkeep
  • Support coordination of tradeshows:
    • Whenever possible, backup participation in domestic pre-conference site visits for the selection of exhibit and meeting space, internal attendee accommodations, client event and dinner venues
    • Research DMCs in locations where tradeshows will take place
    • Prepare book of “things to do” for each tradeshow
    • Assist with coordination of pre-conference logistics (including internal registrations, product shipment, etc.) serving as a backup for client meeting schedules, catering and other tasks as needed
    • Whenever possible/applicable, support onsite operations at tradeshows (including exhibit & equipment installation, transportation, etc.) serving as a backup for booth reception, client meetings and other tasks as needed
  • General Duties:
    • Serve as backup for restructuring of Documentum
    • Transfer visit files to Documentum
    • Backup the setup weekly/bi-weekly meetings for group as needed
    • Support the oversight of the Corporate Marketing events calendar; ensuring that all tradeshow dates are up to date at all times
    • Support the oversight of the deliverables calendar; ensuring that all information in it is up to date at all times
    • Create binders with all pertinent information for each tradeshow/conference
    • Support the upload of presentations, graphics, schedules, etc. that are pertinent to each conference in Documentum for use on the Marketing Intranet
    • Assist with reviewing trade magazines and create a report using excerpts from them
    • Assist with coordination for re-classing of expenses
    • Support updating customer database, and Edith’s calendar and contacts (as needed)
    • Magazine re-distribution (as needed)
  • Other tasks as required

JOB REQUIREMENTS
  • 8 years of event coorinating/management experience
  • college education preferred
  • mulitilngual a plus
