Professionally support the office operations by providing friendly front desk reception, general office and clerical services. Provide administrative support to the Office Supervisor and other departments as needed.
Primary Duties and Responsibilities:
Answer and direct in-coming phone calls in a friendly, professional manner
Greet all visitors in a friendly, professional manner and route visitors to appropriate party
Handle all incoming and outgoing mail daily
Maintain professional appearance of office reception area and supply rooms
Maintain office supply inventory
Support meetings and events with amenity coordination
Assist in general office duties such as filing, correspondence, mailings, and other reports
Maintain, organize and stock amenities and kitchen supply inventory
Stock kitchen, supply rooms and conference rooms daily
Process invoices for accounts payable
Maintain/Distribute ACIST Medical Systems Phone Directory
Complete on-boarding tasks assigned to Office Services Team
Communicate with Marsden and Liberty regarding facility or cleaning requests
Arrange hotel and car transportation
Schedule meetings in Outlook as needed
Ship business documents as requested
Manage HP Printer Cartridge recycling program.
Maintain documents in ACIST Medical Systems Front Desk Manual
Provide administrative support to Office Services Team and serve as back up and/or provide administrative support to other staff as needed
High level of professionalism, energetic and enthusiasm
Friendly and professional demeanor
2+ years’ experience front desk/office assistant experience
Moderate to high level of computer proficiency including, MS Word, Excel, Outlook and document scanning
Ability to work with different internal and external customers in a professional, freindly manner
Demonstrated organizational and time management skills
Strong written and verbal communication skills and interpersonal skills to effectively translate ideas, concepts and information
Ability to work both as a part of a team and independently with high degree of accuracy and without immediate and constant supervision.
Great attendance record
Two year Administrative Degree
High level of computer proficiency with use of MS Word, Excel and Outlook
4-5 years’ experience as a front desk/office assistant
