Job Summary

Assist the Associate Vice President of Facilities Management with the operation of the organization while independently administering numerous programs that support the mission of Facilities Management and the University. Handles details of a highly confidential and critical nature, and must function efficiently and effectively in a fast-paced professional environment. Must have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications from external and internal sources and organize and maintain administrative processes is essential to this position. The ideal candidate will be a results-driven, dynamic, high-energy, organized, and able to support cross-functional coordination in a fast pace environment and possess excellent judgment.

Responsibilities

1. Oversees daily operations and coordinates department activities. Serves as the administrative and functional point person to the department ensuring the smooth function of activities, processes and work flow.

2.Prepares various materials and documents to be submitted to numerous University and Governing Boards (Trustees, Regents, State Building Board, Legislature, etc.) committees, and administrators on behalf of the AVP and/or organization. Develop and maintain a system to alert to upcoming deadlines on required office obligations, and incoming requests and events. When the AVP chairs meetings: Prepares agenda in advance; assists with and provides research/background information, content development, and creation of presentations and coordinates meetings.

3.Directly supervises the activities of AVP support staff and organizing the department workflow, conducting and/or facilitating performance evaluations and making salary recommendations. Oversees Management of the daily schedule for AVP , including travel, ensuring schedule in advance and keeping appointments and meetings on time or changing schedules when necessary.

4.Understands and communicates the organizational policies and procedures that are necessary to ensure appropriate decision-making protocols are followed.

5.Acts as the AVP’s representative and ambassador to internal and external contacts as directed. Ability to anticipate AVP’s needs and proactively bring together appropriate people and resources to support the executive in addressing issues.

6.Assists department with business planning and goal setting.

7.Other duties as assigned.

Minimum Qualifications

Bachelor’s degree in a related area or equivalency and four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Master’s degree in a related area may be preferred.
