The Information Technology administrative assistant supports the Chief Information Officer (CIO), the IT leadership team, Enterprise Data Warehouse (EDW) team, and IT staff. The IT administrative assistant will be responsible for any of the following activities: scheduling meetings, developing correspondence, schedule/arrange travel for senior management, organize department events, submit travel and expense reports, create and manage Purchase Orders in ERP, track yearly maintenance renewals, and processing payroll exceptions for the department. Additional responsibilities may include: preparing reports and other documents using Microsoft Office applications – Word, Excel, Powerpoint. The IT administrative assistant must work with a high level of confidentiality. We are seeking a candidate with excellent people skills and experience in supporting IT functions.
Provide administrative support to the Chief Information Officer (CIO), IT LT members and EDW team
Maintain calendars and scheduling of meetings.
Research and book travel for management team, including air, hotel, and ground transportation
Organize meetings and conference calls with internal and external participants
Assist with on-site meetings
Use and reconciliation of Pcard for low cost department expenses
Order supplies, as needed
Assist in managing system access to ERP system (assigning responsibilities following defined approval process).
Assignment and mailing of remote access tokens to employees globally
Mailing of system set up disks to employees receiving new PC’s globally
Receive, review, and distribute mail
Create PO requisitions in ERP system for software licenses, maintenance, hardware, hardware maintenance, and consulting services supporting the IT department
Track and process receipts of purchased items in the ERP system
Resolution of invoice holds
Track adherence to time entry deadlines for IT employees and report discrepancies
Track and enter Payroll exceptions into Peoplesoft HR/Payroll system
Support for Canon multi-functional printer
Skills and Attributes
Demonstrated experience working with and maintaining confidential information
Multi-task and pay close attention to detail
Possess working knowledge of Microsoft Office (Outlook, Word, Powerpoint, and Excel)
Excellent written, verbal, and interpersonal communication skills. Proven ability to communicate clearly and concisely
Ability to work independently with little to no supervision and deliver on required deadlines
Innovative, continually looking for ways to improve existing processes
High school diploma or equivalent
Minimum 7 years’ experience in administrative support
Minimum 3 years’ experience supporting senior management level
High proficiency use of Microsoft office applications
Demonstrated basic analytical and mathematical skills
Strong editing and grammar skills
Demonstrated ability to perform research, gather data, and basic data analysis
Associate degree is preferred
Experience working in a multi-national company
Experience with Oracle ERP for creation, receipt, and tracking of Purchase Orders
Experience supporting an IT organization
