POSITION SUMMARY:
This position is responsible for operating multi-line telephone system and performing various clerical/administrative duties.
POSITION RESPONSIBILITIES:
Greet visitors, answer telephones, take messages, and answer general questions in order to represent.
Matrix Medical Network and Votiva Health to internal and external contacts in a way that promotes the company mission and vision.
Processes, sorts, and distributes incoming and outgoing mail.
Compiles, copies, scans, and faxes general information requested by management.
Types and compiles reports, spreadsheets, letters and memos; sometimes confidential in nature.
Oversees the distribution of company literature or correspondence through cost-effective, most expedient means.
Oversees nurse licensure database and tracks expiration and recertification dates.
Schedules appointments and plans meetings as necessary.
Provides clerical data entry.
Performs internet and other searches for resource information as requested.
Processes paperwork related to departmental activities and maintains general files (both paper and electronic) to ensure files are up to date.
Orders and maintains departmental supplies.
POSITION REQUIREMENTS: Educational Requirements:
High school diploma or general education degree (GED); Some college preferred.
Two to three years related administrative experience; or equivalent combination of education and experience.
Required Skills and Abilities :
Strong verbal and written communication skills, with exceptional telephone and email etiquette.
Proven relationship building skills; utilized with internal and external customers.
Excellent internet research skills.
Must be proficient in Microsoft Office programs including Excel, Word and Outlook; ability to conduct mail merges preferred.
Ability to type 40+ words per minute.
Must have consistent and effective follow-up skills.
Demonstrated ability to work well under pressure and time constraints.
Must be a self-starter, who can multi-task and prioritize activities in a rapidly changing environment, while achieving results with minimal supervision.
Must have experience working as a positive, proactive, contributing member of a team.
Requires an energetic team player, with excellent organizational skills and attention to detail, while balancing need to work within the ‘big picture’.
Supervisory Responsibility : This job has no supervisory responsibilities.
TRAVEL REQUIREMENTS: No travel required.
