Job Description

SCOPE OF POSITION

Receiving general direction from the Vice Chairman of the Department and the Director of Physician Operations, this position is responsible for managing the overall operations of the Radiology physician practice. The incumbent will provide physician operational support to approximately 200 staff, fellows and residents. The Operations Manager will routinely troubleshoot problems as they occur and will function as the liaison to other departmental areas and hospital departments. Drawing on a broad understanding of hospital and physician practices and policies, and displaying a high degree of initiative and independent judgment, the incumbent will continually assess and direct a wide range of programmatic issues directly related to daily operations.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Oversees the day-to-day operations of the physician practice in the Department. Ensures that workflow is functioning effectively and efficiently for the physicians by monitoring the exam process from completion to finalization. Regularly troubleshoots issues with physicians as needed.

In coordination with Vice Chairman, provides leadership and project management of new clinical initiatives and practice changes directly impacted by the physician practice. Serves as a resource for Departmental initiatives lead by operational areas affecting the physician practice.

Ensures that the administrative staff are meeting the needs of the physicians and clinical operations of the respective Division. Manages direct reports by assigning tasks and prioritizes workloads; evaluates, and standardizes operating procedures and effectively troubleshoots and resolves issues as they arise. Informs staff of inter and intradepartmental policy and procedure changes and guarantees compliance.

Ensures that the physical environment is maintained. Departmental reading rooms and physician administrative space will be managed by the incumbent. Establishes and enforces standards for reading rooms and fields all maintenance, IT and furniture requests. Tracks and maintains log of all administrative space held by physicians in the Department. Responds to space or furniture requests made by physicians. Participates in space projects including reading room redesign, administrative space design, etc.

Tracks and maintains all physician schedules on a Departmental level including on and off campus clinical assignments, discretionary time off, conference time, academic time, etc. In coordination with the Physician Operations Project Specialist evaluates and implements an electronic scheduling system.

Manages and provides administrative support for all moonlighting schedules for the Department. Provides reminders and updates changes regularly. Works with physician contacts to ensure adequate staffing.

Ensures that systems which rely on physician input are functioning properly and appropriate actions are taken when systems issues occur, including but not limited to Important Findings Alerts, Wet Reads, Critical Test Results, etc.

Works closely with Sr. physician and operational leadership in the development of operating standards, policies, and procedures.

Participates in quality and safety and regulatory activities. Educates physicians on Joint Commission requirements related to the physician practice, is an active participant in safety investigations, represents physicians as an Excellence Every Day participant.

In coordination with the Departmental Director of Quality review clinical policies which have indirect physician impact and provide feedback as necessary. As needed create clinical policies which have direct physician impact or which are processes owned by the physicians.

Makes recommendations for improving physician operations having a direct financial impact. Analyzes billing data prior to implementing practice changes.

Performs all other duties or special projects that are unit specific, and are appropriate to this level of position.

QUALIFICATIONS

Bachelor’s Degree Required

Masters Degree preferred in Health Care Administration, Business Administration or related field.

Minimum of 5-7 years of directly related project management, operational analysis, and process improvement.

Demonstrated ability to effectively administer and communicate with physicians.

Minimum of 2 years of supervisory experience.

Knowledge of computer based software programs such as Excel, MS Office, and MS Word etc.

Ability to lift a minimum of 25 pounds.

WORKING CONDITIONS

Both clinical and nonclinical areas on and off campus.
