DESCRIPTION

The Intellectual Property (IP) Specialist assists in the administration and maintenance of VTIP's worldwide intellectual property portfolio (involving patents, copyrights, trademarks and licensing), as well as preparation of legal documents and providing other documentation and compliance support. The ideal candidate is energetic, flexible and highly organized with an extreme attention to detail. The successful incumbent must be able to juggle multiple projects and thrive in a fast-paced environment while maintaining a positive attitude. This position reports to the president of VTIP and supports the president and four licensing associates.

DUTIES

IP portfolio management
  • Maintain patent and agreement files and calendars, ensuring completeness, accuracy and that all due dates are met
  • Maintain invention disclosure process including database entry, review process and tracking
  • Manage inventor assignment preparation and filing
  • Maintain IP legal correspondence database, monitor IP legal issues with activity reminders
  • Perform research into IP issues as requested
  • Provide reports of IP and licensing statistics for VTIP and Virginia Tech clients
  • Maintain physical and electronic filing systems
  • Secure signatures on various documents (invention disclosures, POAs, assignments and declarations)
Preparation of legal documents
  • Assist in preparation of legal documents, including primary responsibility for licenses, options, inter-institutional and confidentiality agreements
  • Compose, draft and track revisions of documents
  • Assist with licensing activities, such as tracking compliance with license terms and preparing correspondence
Other document management responsibilities
  • Responsible for the coordination and completion of invention reporting including government, regulatory, and compliance documents
  • Preparation and maintenance of documentation to support other operational needs
  • Create electronic and physical files, ensuring documentation is filed appropriately
Other administrative responsibilities
  • Acts as VTIP's primary customer service representative including answering inquiries about VTIP and its services, directing visitors to their destinations, sorting and handing out mail, and performing some minimal administrative support for the president
QUALIFICATIONS

  • At least 2-5 years of experience with administrative assistant responsibilities. Training or experience in intellectual property matters is helpful and patent paralegal experience/certification is a plus. Notary public certification will be required.
  • Experience with creating/maintaining databases and document tracking procedures
  • General office skills including filing, faxing, emailing and preparation of meeting notes
  • Strong attention to detail, coordination of multiple projects and ability to set priorities and meet deadlines under pressure
  • Strong written and verbal communication skills and an ability to work individually, on a project or in a team environment
  • High level of initiative and the ability to work independently with the ability to take personal ownership while going beyond assigned tasks to improve project execution
  • Strong knowledge and experience using MS Word, Excel, and Outlook
  • Adaptability to changing work assignments and flexibility with duties
  • Complete discretion and ability to work with confidential information
  • Strong problem solving skills
