The YMCA of Greater Williamson County has an immediate opening for a year-round part-time Human Resources Office Clerk . This is a part-time, 15-20 hours a week position, with the ability for hours to vary Monday through Friday. The work site is at the Metro Office located in Round Rock, next to the CHASCO Family YMCA. The HR Office Clerk will provide administrative support for the daily operations of the H.R. department and will interact with employees, management, applicants, and other business associates in an outgoing, courteous manner. The Office Clerk will perform various clerical duties related to all phases of records management, including maintaining employee and Volunteer records, logging documents, maintaining databases, and performing data entry while maintaining confidentiality. They will support the mission, purpose, and goals of the YMCA, while performing their job duties and responsibilities, which include:

General Office Duties :

Perform general office duties including, but not limited to:

o Perform customer service functions by answering basic employee questions and requests;

o Files papers, documents and correspondence into appropriate employee or HR file in a timely manner;

o Prepare new employee files;

o Rotate employee files in file cabinets as needed;

o Assist with data entry of HR paperwork, including new employee “start” notices; changes, and terminations;

o Attend all scheduled staff meetings and training sessions;

o Use all equipment and supplies according to recommendations;

o Assist with the preparation of reports and correspondence;

o Make photocopies, fax documents as requested or needed;

o Help conduct employee benefits enrollments;

o Maintain I-9 documentation files;

o Perform other clerical duties as requested or needed.

Volunteer Applications :

Responsible for submitting on-line criminal history background checks for Volunteer applicants. Maintains tracking procedure to ensure all volunteers have successfully completed the approval process. Contacts departments with approvals and/or denial notifications.

Association Office Support

Cross-train with Metro Office Executive Admin. Assistant. Acquire a working knowledge of other Metro front office duties and procedures and serve as back-up as needed, including:

o Serve as back-up Receptionist; answer multi-line front desk phone; routing calls/messages to appropriate person;

o Collect, sort, distribute incoming and outgoing Association mail/Post Office runs;

o Greet visitors, ascertain nature of their business and direct visitor to appropriate person;

o Key timesheets for payroll processing;

Technical Skills :

Exhibit proficiency in Microsoft Suite ( Excel, Word, Outlook, PowerPoint)

Skills / Requirements The successful candidate must:

• Have at least 6-9 months previous office experience or related education;

• Must be at least 18 years of age;

• Possess excellent Interpersonal/Customer Service Skills;

• Possess the ability to handle sensitive and confidential information and maintain HIPPA standards;

• Be able to gather and analyze information and identify and resolve problems in a timely manner;

• Speak pleasantly, clearly and persuasively in positive or negative situations;

• Be able to edit work for spelling and grammar; present numerical data effectively and be able to read and be able to interpret written information;

• Exhibit proficiency in Microsoft Suite ( Excel, Word, Outlook, PowerPoint);

• Demonstrate they are able to prioritize and plan work activities and use time efficiently;

• Must be able to demonstrate accuracy and thoroughness, monitoring own work to ensure quality product;

• Be skilled in Microsoft Suite: Outlook, Word, Excel and PowerPoint; ability to learn internal HRIS program (Christensen) quickly; Must be able to key at least 40wpm

• Must be able to file alphabetically quickly and accurately,

• Be able to adapt to changes in the work environment, manage competing demands and be able to deal with frequent change, delays, or unexpected events. Must exhibit a willingness to try new things;

• Be dependable and have a history of attending work or school consistently and arriving on time, following instructions, responding to direction and soliciting feedback to improve performance.

• Enthusiasm, high energy and exceptional human relations and customer service skills;

• Must be able to pass a pre-employment drug screen, background check, sex-offender registry check and reference checks.
