The Division of Student Life at the
University of Tennessee, Knoxville invites applications and nominations for the
position of Administrative Specialist I in the University Center Event Services
and Reservations Office. The position is responsible for maintaining the
reservation and scheduling systems pertaining to event space and audio-visual
equipment in the University Center according to established policies and
procedures.

PRIMARY
RESPONSIBILITIES

Maintain a master listing and record of
University Center event space and audio- visual equipment reservations using
EMS Pro (Event Management System) scheduling software; Process reservation
requests for event space and audio-visual equipment ensuring requests conform
to established policies and procedures. Work closely with guests to determine
event space and audio visual equipment needs so space assigned is appropriate for
event; Conduct follow-up activities with guests regarding pending dates, room
setups and audio-visual equipment needs; Communicate audio visual equipment
needs related to each reservation to appropriate University Center staff; Work
closely with Assistant Director, Building Managers, and Custodial Supervisor to
coordinate scheduled events, room arrangements and audio visual equipment; Work
closely with Catering Services to communicate accurate information and
coordination of catered events; Prepare daily, weekly, and weekend event schedules, setup worksheets, and audio-visual equipment schedules; Prepare
periodic reports summarizing number and type of reservations; Transfer
necessary reservation billing information to Accounting Clerk for invoicing.

Qualifications

REQUIRED
QUALIFICATIONS

High school graduation; Strong
interpersonal and public relations skills; Ability to communicate professionally
and effectively in person, telephone or email; Ability to coordinate multiple responsibilities
efficiently and simultaneously; Ability to work within established policies and
maintain accurate records; Skilled in computer usage; Capability of learning
computerized reservation system; One year of experience in working in a professional office
setting is required.

PREFERRED/DESIRED
QUALIFICATIONS

Some college experience; Experience in using a
computerized reservations/scheduling software.
