THE ROLE YOU WILL PLAY:
: Management of the office of the CEO and all day to day operations related to the CEO's schedule, correspondence, preparation for meetings and presentations; management of executive documents; management of board responsibilities.
: Provide administrative and clerical support as well as procedural input for the CEO.
: Serve as a liaison between the CEO and the Corporate Leadership Team (CLT) and other associates both within and outside the organization.
: Coordinate and maintain executive calendar; coordinate CEO travel, including travel expense reports.
: Manage correspondence for CEO; manage and maintain corporate contracts, licenses, certificates and files.
: Maintain and update CEO information notebooks (internal and external).
: Manage the upkeep of the day to day flow of information to CEO through sorting, filing and establishing an immediate retrieval system for CEO.
: Assist with the development of budget information for CEO.
: Prepare and maintain President's expense report.
: Provide Executive support to Chief Operating Officer and Chief Program Officer
: Assist with preparation and administration of Board meetings including but not exclusive of: preparing agendas, taking minutes, emailing board agendas and minutes, preparing board member packets, ensuring set up, preparing reports, bringing necessary materials to meeting.
: Setup and coordinate meetings and conferences.
: Directly supervise the reception staff, completing evaluations, corrective actions, approving time off, maintaining attendance reports, making recommendations for hire or discharge.
: Research, price, and purchase items as directed.
PROFILE FOR SUCCESS:
: Computer expertise and excellent skills with Microsoft Office and Operating Systems and Internet.
: Ability to communicate professionally and interact and work with executives, such as board members, executive staff from other companies, and people at all levels of the organization and external contacts.
: Skills and experience as an executive assistant.
: Leadership skills and the ability to understand and work with your executive and management leadership style.
: Flexibility to meet unforeseen scheduling demands consistent with executive level responsibilities.
: Multi-tasking skills and the ability to give attention to detail/accuracy.
