The Business Assistant III will perform a variety of secretarial duties for a manager, requiring knowledge of department policies and procedures. Relies on instructions and pre-established guidelines to perform functions of job. Essential duties include:

Receive and screen telephone calls and visitors, assist with incoming inquiries, and resolve problems using knowledge of department policies and procedures.

Serve as a liaison between managers and employees and schedule appointments and meetings.

Draft correspondence, edit documents, and take and transcribe minutes of meetings as necessary.

Research, compile and prepare data for administrative reports and presentations.

Domestic and international travel and expense reports.

Generate requests for payment and code and enter data.

Simple project coordination and assignments as requested.

Circulate mail, records, publications, and order and maintain department's office supplies.

With advanced knowledge of filing systems, maintain and update department files, records and publications.

Perform copying, collating, binding, packaging, etc., and disseminate routine and other documents as requested by department personnel including mail/messenger/meeting preparations.

Prepare presentations and reports for meetings, which may include setup of A/V equipment.

May assist with compiling and developing the department's annual budget.

A certain degree of creativity and latitude is required.

Working Conditions:
The position is located in an office environment.

Qualifications

Minimum 6 years clerical/secretarial experience or equivalent combination of training and experience are necessary.

A minimum of 2 years working with a manager or director.

Secretarial/business school training is desirable.

Intermediate computer skills with advanced working knowledge of MS Office applications.

Basic knowledge of office equipment.
