Job Description File Clerk (FC) reports to the Functional Area Supervisor. The FC examines incoming material and codes it numerically, alphabetically, or by subject matter. They store forms, letters, receipts, or reports in paper form or enter necessary information into other storage devices. FCs may operate mechanized shelving units that rotate to bring the needed records to them. FCs may film or scan documents for storage and retrieval. FCs ensure that new information is added to the files in a timely manner and may destroy outdated file materials or transfer them to inactive storage. They also check files at regular intervals to make sure that all items are correctly sequenced and placed. Whenever records cannot be located, the FC searches for the missing material. As an organization’s need for information changes, FCs implement changes to the filing system established by supervisory personnel. When records are requested, FCs locate, charge out, and forward them to the requestor. If necessary, FCs make copies of records and distribute them to appropriate personnel or offices. They keep track of materials removed from the files and ensure that those given out are returned. FCs use computerized filing and retrieval systems such as CIS and NFTS to retrieve information. To retrieve document information, the FC enters the document’s identification code, obtains the location, and then pulls the document. FCs also request documents from File Control Offices (FCO), the National Records Center (NRC), the National Benefits Center (NBC), the Federal Records Center (FRC), and other file locations as required. Even when files are stored electronically, backup paper or electronic copies generally are kept. The File Clerk may be cross trained to perform as a Mail Clerk and/or as a General Office Worker. Required Skills The FC must be computer literate, be able to enter data at a reasonable rate, express or exchange ideas by the spoken word, and sit or stand for long periods of time. The FC must also be able to conduct repetitive body movements, push, pull, reach, stoop and/or bend and lift up to 45 pounds repetitively at times. Must qualify for a USCIS security clearance. Desired Skills Education High School or Assc Degree and 1 - 2 years exprience

Experience The FC should have at least one year’s work experience preferably in an administrative or customer service field. Must qualify for a USCIS security clearance.
