Accounting Manager
Seeking experienced, committed, self-starter for Accounting Manager position in growing Credit Union in Washington, DC.
Under general supervision, but following established policies and procedures, supervises and coordinates the daily activities of the Accounting Department staff (ACH, ATM, Card Services, Share Drafts, AP/AR). Ensures that electronic banking activities are in compliance. Performs a variety of other complex and semi-complex accounting duties related to Corporate Accounts. Receives, sorts, and proofs accounting documents, posts totals to the general ledger, reviews internal records, researches adjustments and reconciles accounts. Responds to questions and/or provides information upon request from members (internal and external). Processes requests/transactions, as appropriate. Assist members and potential members in understanding and utilizing Credit Union products and services. Coordinate annual examination and audits. Responsible for month-end closing and quarterly call reports.
Major Duties and Responsibilities:
1. Provides day-to-day coordination of and supervises the Accounting Staff. Coaches and counsels staffas appropriate. Communicates performance expectations and monitors results. Recommends the discipline and/or discharge of subordinates as appropriate while maintaining the required documentation. Trains new accounting staff as needed.
2. Responsible for ensuring the proper and timely processing of ACH, Share Draft, Share Branch, PPD, ATM, Card Services, A/P, Investment, and all facets of accounting duties as they pertain to the operation of the Credit Union. Ensure member inquiries regarding the multiple accounting functions are resolved timely and expeditiously. Ensure staff maintains and updates member records as needed.
3. Responsible for the testing and implementation of new Share and Loan products, ACH, Shared Branch, Share Draft, ATM and other applicable services.
4. Ensure proper research and resolution of any out of balance conditions. Maintains current knowledge of all applicable Regulation requirements.
5. Review reconcilement researchand problem-solving on all GL accounts. Reviews corporate statements and ensures proper posting of appropriate entries. Maintains daily corporate account checks/money orders reconciliations. Post all investment entries and reconcile general ledger. Investment entries consist of purchases, called investments, matured investments, premiums, discounts, monthly pay down of MBS and CMOs, etc.
6. Responsible for ensuring accurate rate disclosure calculations for APR and APY.
7. Reviews all reconcilements for accuracy. Prepares and collects appropriate paperwork for supporting documentation. Communicates with the Federal Reserve regarding outstanding adjustments.
8. Responsiblefor verifying documentation (i.e., brochures, newsletters, etc.) and website disclosure of APR and APY calculations.
9. Reviews GLs for any outstanding items. Corrects all out of balance conditions/accounts. Works in conjunction with other departments for the efficient operation of the CU.
10. Responsible for overseeing transmission and receipt of third-party items pertaining to ACH, ATM, share drafts, etc. and verify data for accuracy of transmission.
11. Ensures the proper GL coding of vendor invoices. Verifies invoices are proper and accurate and timely resolves vendor discrepancies. Approves invoices and ensure timely payments. Ensures proper and timely implementation of accounting related items. Works in conjunction with vendors to ensure proper understanding; asks pertinent questions to ensure seamless integration.
12. Works with vendors to ensure sufficient inventory (i.e., card stock).
13. Prepares monthly reports for Investments, Fixed Assets, Prepaid Expenses and Liability Accruals.
14. Utilizes tact and experienced based knowledge to resolve accounting problems, explaining specific policies and procedures.
15. Responsible for preparing, processing, and ordering ATM and Visa Check Card requests. Ensures all information is complete, accurate, and posted in a timely manner. Posts balance transfers for Credit Cards and other adjustments as requested by internal staff, including monthly charge-offs. Updates ATM and Debit Card systems with member contact information changes as received from various internal departments. Orders replacement ATM and Check cards and/or PINs as requested.
16. Utilizing tact and experienced based knowledge, researches and resolves member (internal and external) problems/questions explaining specific policies and procedures while representing the Credit Union in a professional manner and maintaining positive member relations.
17. May prepare avariety of on-going and/or special reports on a daily, weekly, monthly, quarterly and year-end basis to include account activity, cost analysis, and specialized monthly management reports relating to all GL accounts.
18. Completes the quarterly Call Report for NCUA.
19. Prepares necessary accounting documents for annual NCUA and external audit.
20. Manages open Symitar cases for Accounting and Branch.
21. Sets up new users and terminate users in Symitar. Resets/unlocks consoles, resets passwords, and resets number of attempts.
22. Prepares financials (Balance Sheet and Income Statement) for the Board of Directors' meeting and month-end closing. Ensures accuracy and precision in the compilation of financials.
23. Prepares statistical and other necessary reports for the Board of Directors' meeting.
24. Compile and maintain federal and state tax deposits/payments & records.
25. Works with Branch in resolving GL related out of balance issues.
26. Performs all duties of the Accounting Team Lead, Accountant, and Accounting Assistant as needed.
27. Performs other Accounting and Operational processing duties as assigned by the President/CEO.
Requirements:
BA/BS or MS in Accounting or Finance. Minimum five years accounting experience, preferably in a financial institution. Knowledge of CU operations and regulations. Demonstrated knowledge of GAAP. Excellent organizational, analytical and problem-solving skills. PC proficient including Microsoft Office (Word, Excel, Outlook) the Internet and other financial analysis programs. Symitar experience preferable. Excellent verbal, written, telephone and interpersonal communication skills. Must possess a strong service orientation. Demonstrated ability to handle multiple projects/priorities in an effective manner. Must be able to deal with highly confidential information. Ability to function in a financial institution branch environment and utilize standard office equipment including but not limited to: PC, copier, telephone, etc. Ability to lift 25lbs. or more (file boxes). Some travel required.
Accounting Assistant
Under general supervision, but following established policies and procedures, performs a variety of complex, semi-complex, and routine accounting and clerical duties relating to Corporate Accounts, ACH's, Card Services program (Credit/Debit/ATMs), PPDs, and Accounts Payable. Receives, sorts, and proofs accounting documents, posts totals to the general ledger, reviews internal records, performs arithmetic calculations, researches adjustments and reconciles accounts. Is responsible for preparing card documents and researching and responding to members inquiries. Responsible for the ATM settlement process, including Shared Branch activity. Responds to questions and/or provides information upon request from members (internal and external). Processes requests/transactions, as appropriate.
Major Duties and Responsibilities:
A. Accounting
1. Responsible for processing Share Draft and Share Draft daily returns via the processor, including inquiries and retrievals. Processes and resolves member inquiries regarding share drafts, returned checks, and stop payments. Maintain and update member records as needed.
2. Responsible for balancing and reconciling of general ledger accounts pertaining to share drafts. Research and resolve any out of balance conditions. Maintains current knowledge of all applicable Regulations requirements.
3. Performs reconcilement research and problem-solving on a variety of GL accounts. May review corporate statements and post appropriate entries. Maintains daily check/money order reconciliations.
4. May research adjustments to corporate accounts. Prepares and collects appropriate paperwork for corporate accounts. Communicates with Federal Reserve regarding outstanding adjustments.
5. Reviews GL's for any outstanding items. Corrects all out of balance conditions/accounts.
6. Responsible for sending and receiving, third-party transmissions pertaining to ACH, ATM, share drafts, etc. and verify data for accuracy of transmission. Processes and resolves member inquiries ( i.e., share drafts, returned checks, stop payments, ATM issues, etc.). Maintain and update member records as needed.
7. Prepares invoices, processes vendor checks, handles vendor discrepancies and related accounts payable duties
8. Prepares monthly reports for Fixed Assets, Prepaid Expenses and Liability Accruals.
9. Utilizes tact and experienced based knowledge to resolve accounting problems, explaining specific policies and procedures. Researches, responds to and resolves member (internal and external) problems/questions.
10. Performs all duties of the Card Services and ACH Specialists as needed.
11. May prepare a variety of on-going and/or special reports on a daily, weekly, monthly, quarterly, and year end basis.
12. Works with other departments in resolving GL related out of balance issues.
13. Performs other Accounting, Finance, and Operational processing duties as assigned by the Accounting Manager and/or President/CEO.
B. ATM's
1. Responsible for preparing, processing, and ordering ATM and Visa Check Card requests. Ensures all information is complete, accurate, and posted in a timely manner. Posts balance transfers for Credit Cards and other adjustments as requested by internal staff, including monthly charge-offs. Updates ATM and Debit Card systems with member contact information changes as received from various internal departments. Orders replacement ATM and Check cards and/or PINs as requested.
2. Balances and reconciles all ATM activity to the Symitar reports including all Shared Branch Activity and non-Branch affiliated ATM machines. Updates member accounts and general ledgers as applicable. Prepares and posts the daily ATM settlement report. Orders replacement ATM cards.
3. Processes debits/credits and charge-backs.
4. Reconciles all ATM change funds. Balances and reconciles the ATM Settlement Reports for outsourced ATM settlements.
5. Utilizing tact and experienced based knowledge, researches and resolves member (internal and external) problems/questions explaining specific policies and procedures while representing the Credit Union in a professional manner and maintaining positive member relations.
6. Ensures proper and timely implementation of accounting related items. Works in conjunction with vendors to ensureproper understanding; asks pertinent questions to ensure seamless integration.
7. May post entries to Cash Account on a daily basis. Orders cash for ATM machines and tellers when needed.
8. Investigates lost or stolen cards and, where necessary, blocks accounts within established policies and procedures. Maintains close working relationship with outside vendors.
9. On a daily basis, monitors and reviews all incoming Card Security reports for possible fraud. Contacts members daily to verify if Check card transactions are fraudulent and performs card maintenance as necessary to protect the Credit Union from potential fraud.
C. ACH
1. Processes daily ACH files, verifies ACH prenotes, returns ACH overdrafts and unpostables to the FRB.
2. Maintains stop payments for ACH and ensures that draft stop payments are on the system. Collects fees for stop payment processing if applicable.
3. Handles all discrepancies and researches adjustments to corporate accounts accordingly.
4. Responsible for FRB adjustments and reconciling FRB statements.
Open and manage cases in Symitar through J.H. Portal.
Requirements:
Prefer BA/BS in Accounting or Finance. Minimum two to three years accounting experience, preferably in a financial institution. Knowledge of Credit Union operations and regulations. Demonstrated knowledge of GAAP. Excellent organizational, analytical, and problem-solving skills. PC proficient including Microsoft Office (Word, Excel, Outlook) the Internet and other financial analysis programs. Excellent verbal, written, telephone and interpersonal communication skills.
