Administrative Services Assistant 1. Employee will be assigned to the office of administration, administrative services section. Under general supervision of the administrative services manager, will provide administrative services support for the agency in the areas of safety and security as well as compliance with the department of labor and OSHA regulations. acts as the agency safety coordinator traveling statewide to carry out safety and OSHA compliance inspections of all DEP facilities and compile reports of OSHA compliance, NFPA and life safety code, and BRIM initiatives. Inspections have become complex and comprehensive due to the growing requirements of BRIM initiatives, DEP safety policies and procedures and our worker's compensation insurance. Employee must read, understand and envision how the OSHA code and regulations relate to circumstances as they are performing their inspections. Employee must be able to interpret, comprehend and implement processes or resolutions that meet OSHA codes and regulations as well as the standards of the DEP. ensures that all DEP facilities follow all emergency procedures and safety policies, conducts annual facility safety checks, safety inspections and tracks corrections to deficiencies to assure compliance with all safety policies, rules, procedures etc. failure to carry out appropriate training, inspections, etc . can result in increased liability insurance rates. Employee is responsible for annual review and update of agency safety policies for approval of the ASM, office chief and cabinet secretary, and that all safety and security procedures are up-to-date and available on the DEP intranet. Employee will be responsible for compiling statistics on accidents/incidents, employees 1 work environments, building safety issues, vehicle accidents, etc . for facility and submitting them to the dep safety manager. Must conceptualize work methods, tools, and configurations to correct safety issues and problems. Acts as lead worker in coordinating reception desk scheduling at the Charleston headquarters, and also assures that all procedures used for security of the building are carried out by front desk staff to ensure the safety of the building and workers. Train all new front desk staff. Must be knowledgable of OSHA regulations, NFPA codes, life safety codes, and ADA rules and regulations. Must become certified as a CPR/AED & first aid instructor through the american red cross and maintain that certification. Must provide training for employees and medical emergency response team members in CPR/AED & first aid in DEP facilities throughout the state . will complete an annual chemical inventory of the Charleston facility and revise MSD books and assure that an inventory and MSD books are prepared in all field locations .employee is responsible for gathering the safety data sheets from all offices and organizing them. Must be able to read and determine the hazards associated with each chemical and assure item is stored and disposed of appropriately. Will coordinate required emergency procedure drills for the charleston facility on a regular schedule . acts as floor marshall for emergency situations and drills and as a medical emergency response team member in the Charleston facility . evaluates and modifies emergency response procedures as necessary and conducts quarterly floor marshall meetings making sure that all floor marshalls are properly trained

Training: Graduation from an accredited four-year college or university. Preference may be given to candidates with a major in the area of public or business administration, accounting, industrial relations, communications or related field.
Substitution: Additional qualifying experience as described below may be substituted on a year-for-year basis for the required training.
Experience: One year of full-time or equivalent part-time paid employment in a technical or advanced clerical position providing administrative services such as accounting, budgeting, project monitoring and reporting, personnel, or procurement and property. Experience must have been at the Office Assistant 3 or Accounting Assistant 3 level or higher. Persons with specialized experience directly related to the duty areas described above (Safety, OSHA, facility inspection, etc.) are preferred. Computer proficiency required.
Substitution: Successful completion of graduate study in an accredited college or university in one of the above fields may be substituted for the required experience on a year for-year basis.
