Job Summary Coordinates all FIU Online sponsored trainings, meetings, and events Serves as the liaison for FIU Online to external and internal vendors as applicable to trainings, meetings, and events. Maintains internal and external contact list as it applies to this position. Coordinates with Purchasing Coordinator on vendor contract process, as applicable, and sees it through to completion. Coordinates with internal staff on gathering information for presentations for trainings and agendas for meetings and events Ensures that all training, meeting and event information can be found in Salesforce to provide visibility to the administrative team and to serve as a reference for future instances. Ensures that FIU Online Event Calendar is always kept up to date. Ensures that attendees of trainings, meetings and events are properly reflected in Salesforce when applicable. Coordinates creation of and maintenance of departmental email distribution lists (Listserv and Outlook). Coordinates and maintains updated Salesforce Chatter profiles for all new and current employees. Coordinates and schedules New Instructional Designer Training sessions. Ensures that FIU Online maintains an adequate supply of meal vouchers and visitor parking passes. Coordinates upkeep of office space layout files and ensures they are updated and reflect current occupancy and any vacancies. Coordinates all FIU Online surveys and maintains survey timeline. This includes creation of surveys in Qualtrics and data management of responses. Ensures that all FIU Online memberships are renewed and created as recommended. Supervises assigned personnel.
Minimum Qualifications Master's degree in an appropriate specialization; or a bachelor's degree in an appropriate specialization and two years of appropriate experience.
